Overall purpose of the role
To assist in the provision of administrative support for both the Recruitment & Resourcing and Employment Services Teams within the University, under the direction of the Recruitment & Resourcing Manager and Employment Services Manager supporting in the day to day delivery and provision of services that support the business to hire the best person for a job through to their appointment and on-boarding.
Key responsibilities, accountabilities or duties
Able to professionally and confidently respond to queries and requests for information from a variety of people, including staff, managers, colleagues and students (this may be in person, over the telephone or in writing)
Clearing, organising and monitoring multiple cases within our Customer Relationship Management System (CRM), helping the teams to keep up to date with enquiries and respond in accordance with our Service Level Agreements (SLA's)
Triage of Casual Worker paperwork, ensuring the details within the forms are correct and that these are processed in a timely way for Payroll deadlines
Organising and filing of Occupational Health returns for new appointments
Organising and filing of ATAS Certificates for new appointments
Process IT access for new appointments & extensions
Booking in and conducting Right to Work checks (RTW) according government guidelines
General housekeeping for Recruitment, ensuring all recruiting documentation is in order on the system and that the Recruiting Manager has uploaded all details relevant to their recruitment after interviews and once an appointment has been made on Jobtrain (which is our recruitment system for the University)
At all times to work with professionalism and ensure our customers and colleagues are treated with respect and to foster a culture of diligence and accountability, courtesy, flexibility and peer support across all our Services
Attend team huddles to keep up to date with operational changes and take responsibility for anything which could affect your daily work and your deadlines
Support our colleagues on the Reception team as and when required, dealing with enquiries from our customers, staff and students
Help us maintain all HR systems and spreadsheets
Undertake any work assigned by the Recruitment & Resourcing Manager and Employment Services Manager where appropriate, participate in service wide and University wide work, including supporting colleagues when they are involved in specific project work outside of business as usual activities
Work in partnership with other HR colleagues to ensure a consistent and focused approach to the University's HR People Policy by personal example and quality of contribution, promoting a culture of continuous improvement
Maintain confidentiality of information and protecting personal data in line with University procedures
Positively promote equality and diversity, ensuring duties are carried out in accordance with University policy and good practice. Post holders are required to familiarise themselves with the University's Equality and Diversity policies and to actively support these wherever possible
Demonstrates creativity in resolving problems effectively, with excellent customer service and always looking at ways to improve what we do and how we do it
Demonstrates a high level of computer literacy, including knowledge of web-based packages and working with Microsoft Office.
Up to date knowledge of administrative good practice, in relation to Data Protection
Demonstrable organisational skills, supportive in a fast moving business/institution
Able to demonstrate a flexible and adaptable approach to the role, with an innate ability to help and support their team and others around them
Administrative experience, preferably within a HR environment
Demonstrates diligence, accuracy and attention to detail
Excellent communication skills (written and oral), able to engage people with different backgrounds, present information clearly
Experience of planning and organising self to deliver against agreed team targets and deadlines in a high volume, process-driven, administrative environment

Demonstrates a commitment to the University's values, understands the importance of diversity in the workplace, and acts as a role model in treating all contacts with respect and patience
Previous experience of working in a Higher Education setting, with an understanding of working and administrative practices
Previous experience using CRM Dynamics (or other case management system), Jobtrain, Resourcelink.
A professional qualification in Business Administration or HR
