The Profile

The successful Helpdesk & Admin Operator would have experience of a manufacturing or engineering or HAVC background and worked with a PPM software system such as Maximo .

You must be a competent and well organised administrator, with a good understanding of Excel, who is able to work to company standards, processes and procedures as well as proactively provide support for the customer and . You need to be creative, think outside of the box and commercially savvy.

The Role

As the Helpdesk & Admin Operator your duties will be involved in all aspects of the site, including, but not limited to:

Prepare correspondence, spreadsheets, reports and minutes

Collate and circulate weekly movements as appropriate

Handle all incoming and outgoing mail, date stamping, franking, logging, etc

Arrange meetings with refreshments, travel arrangements, etc

Collate information and maintain office files / records and appointment diaries

Collate, monitor and record annual leave and sickness records

Log all works and relevant job numbers onto both manual and electronic systems

Check all job packs before dispatch to enable invoices to be issued

Ensure accident reporting procedures are undertaken promptly and efficiently

To answer calls within 3 rings, raise tasks, log information received on to the helpdesk database and assign an engineer within the appropriate service level timescales.

Assessing information from the daily breach report and liaising with Account Manager and engineers to adjust workflow as necessary.

Taking a proactive approach to ensuring any 'workspace’ reactive work orders are closed out in good time.

Working with Account Manager, client and relevant Projects contact to drive forward any project work that needs to be conducted on basis of workspace information.

Reviewing the comfort policy with the client/building users on a regular basis.

Drive asset intelligence and associated skills/capability required to deliver service.

Ensure Account Manager has information on 'Workspace’ to include in monthly report.
