Role Description:
You will be assisting clients across all industries on a variety of Health & Safety issues, providing an accurate, compliant and commercially aware service in relation to all aspects of current Health & Safety legislation and industry standards, applied to the client’s requirements and needs. You will process information submitted by field consultants and ensure clients are serviced to Avensure Ltd’s high standards. In a small, close knit team, you will be a key component to our continued success, to support colleagues and the shared objectives and common goals of the department and business.


Responsibilities in the office

• Following all departmental processes and procedures diligently

• Answering calls to the Health & Safety (H&S) advice line and responding to email advice requests in a timely manner

• Liaising with clients proactively via phone calls & emails, providing good ongoing customer service & managing client expectations

• Supporting Sales & Marketing by critiquing health & safety documentation & advising on industry specific needs & considerations

• Updating Avensure Ltd’s CRM system with all client interactions and relevant information conscientiously as per procedure

• Liaising with HS Field Consultants to support their work and activities in visiting and supporting clients

• Compilation of documents from HS Field Consultants, including processing & proof reading/clarifying visit reports & HS documents

• Processing client documents within agreed SLAs and internal KPI's to ensure quality is high and maintained

• Co-ordination of client appointments and HS Field Consultant Visits

• Compiling Health and Safety Documents, Policy and Procedure Handbooks

• Contribution to the development of Avensure Ltd’s Health and Safety service development

• Client care calls to capture feedback on the service and addressing complaints and support requests

• Calls to Sales Reps to discuss new clients HS needs

• Management of Client/Internal Online Health and Safety E-Learning Course Suite, allocating these to clients
• Other general administrative duties

Responsibilities in the field (Required on occasion)
• Visit client premises and evaluate Health and Safety arrangements and current position
• Accurately identify client requirements to ensure needs and expectations are met (in accordance with their contracted services)
• Provide relevant, timely advice and information to clients
• Compliance with agreed Business SLAs and KPI's for client visits
• Completion of visit notes in preparation for the compilation of a visit report and action plan to record the evaluation and document findings and recommendations
• Preparation of subsequent reports and logs of follow up visits
• Assist and advise on the installation of the H&S system and subsequent policies at the client premises
• Periodic participation in out of hours on-call rota as required
Client Care
• Initial contact with the client within defined timeframe
• Development of the client relationship
• Accurately identify client requirements to ensure needs and expectations are met (in accordance with their contracted services)
• Provide relevant, timely advice, replies and information to clients
• Compliance with agreed Business KPI's

Service delivery
• Preparation of clients H&S documentation e.g. documentation suite, policy and handbooks, within agreed KPI's
• Preparation of the clients H&S Evaluation report within agreed KPI's
• Advisory Service
•Preparation and delivery of training as directed
•Provision of bespoke and secondary services as agreed with the client and specified in individual contracts

Communication
• To provide a positive and professional image of the Avensure Ltd Health and Safety service to both internal and external customers and colleagues
• To share relevant client information with colleagues and be a positive and constructive presence in the team and wider business

Commercial awareness
• Be aware of the scope of Avensure Ltd Health & Safety and HR/Employment Law services, identifying any relevant additional service opportunities within existing/prospect client groups
• To maintain professionalism at all times during service delivery and manage client expectations through the provision of a compliant service within the scope of the client contract

Qualifications
• Candidates must have a minimum of NEBOSH Diploma or equivalent, Graduate Member of IOSH an essential criteria, with evidence of IPD and CPD activity towards Chartered status

Skills
• Strong H&S generalist background and experience and similar relevant experience required
• Appropriate technical and professional qualifications (NQF/QCF Level 6).
• Chartered Membership of IOSH desirable
• Strong knowledge of current / proposed H&S law, ACoP's, Industry Standards, etc.
• Strong written and verbal communication skills
• Computer literate and experienced in using CRM and Microsoft Office software
• Excellent interpersonal skills
