Working for one of the most successful independent schools in Sussex as PA to the headmaster and Bursar. The Headmaster's PA provides strictly private and confidential support to the Headmaster. Being the first point of contact between the Headmaster and all areas of the School, parents, prospective parents, Governors and outside agencies.

Principal Duties & Responsibilities

Summary, which will include but is not limited to:

  • Managing the Headmaster's diary
  • Preparing minutes for Senior Management Team, Senior Leadership Team and Staff meetings
  • Convening meetings
  • Facilitating links with Prep Schools by arranging visits by Prep Heads and preparing mailings
  • Sending information concerning school events to Governors and making arrangements for Governors' visits to the school
  • In conjunction with other staff, helping to co-ordinate ad-hoc school events
  • Overseeing of electronic pupil filing
  • Ensuring that the Headmaster's office is compliant with the School's complaints policies and guidance, updating the Complaints File and other policies as directed
  • Preparing Inspection documentation as required
  • Screening telephone calls
  • Dealing with highly sensitive information in a strictly confidential and professional manner
  • Preparing PowerPoint presentations for Governors' meetings, Inset, etc
  • Drawing up 13+ and 16+ scholarship results letters to parents, in conjunction with members of the Admin Team
  • Arranging the termly Parents' Forum Meetings
  • Preparing the Headmaster's correspondence, reports for Governor's meetings, speeches, half-termly Newsletters or dictation. Proofreading of all documents which are sent or published under the Headmaster's signature
  • Updating of various school booklets, such as the New Parents' Handbook
  • Overseeing of electronic pupil filing
  • Participating in various Open/Visitor Mornings
Skills and Competencies
  • Proven ability to keep accurate records
  • Ability to create and manipulate data sheets in Excel and to set up mail merges
  • Ability to set up and work with PowerPoint presentations
Attributes
  • Well organised with excellent time management
  • Enthusiastic, with the ability to foresee what needs doing
Working hours

The post is full time, working Monday to Friday 8.30 am to 6.00 pm, with one hour (unpaid for lunch) and, in term time, Saturday mornings 9.00 am - 12.00 pm.

Alternatively, the post could be a job share with one person working Monday, Tuesday and Wednesday with alternate Saturday mornings during term time, and the job share partner working Wednesday, Thursday and Friday with alternate Saturday mornings during term time.

There may be the requirement to work occasional additional hours when needed.

Annual Leave

Holidays will depend on the working pattern of the successful candidate(s) and must be taken out of term time and in agreement with the Headmaster.
