We are currently working with an extremely friendly company in Chancery Lane looking for an Assistant Team Administrator to join their growing team! This role requires someone who has good attention to detail, who works quickly and efficiently and who is happy carrying out a varied and busy role. You will act as a point of contact for general administrative related matters and use your initiative in order to deliver the quality of service that is required of the role.

Job Summary | Graduate* Assistant Team Administrator

Key Responsibilities

  • Copy typing of reports, correspondence, asset registers, contract documents, meeting minutes, compiling log site books, updating work programmes, fee proposals and issuing fee numbers
  • Site Info and Technical Bureau document uploads and work scheduling
  • Answering incoming communications by telephone (including voicemail) and emails
  • Proactively managing, receiving visitors and advising appropriate staff
  • Organising and maintaining an attractive, tidy, up to date reception area
  • Managing Reception, meeting and greeting all visitors
  • Preparing and booking meeting rooms
  • General typing as necessary
  • General office duties such as post, filing, photocopying and scanning, picking up answer machine messages
  • Ensuring that stocks of stationery and printed matter are maintained at all times
  • Any other ad-hoc duties as required

General Admin:

  • Telephone and Receptionist duties
  • Binding & Photo Copying
  • Office supplies (Ocado, Post Office, Stationery Company)
  • Providing refreshments for Clients
  • Supply orders for Water Cooler & Coffee machine
  • Recycling schemes
  • Travel arrangements and couriers
  • Diary Management
  • Filing/Archiving
  • QA info in files

Key Qualities

  • Educated to degree level or equivalent
  • MS Word, Excel (Intermediate), PowerPoint & Outlook
  • MS Project (Basic understanding)
  • Good organisational skills
  • Good verbal and interpersonal competence
  • Collaborative, flexible working style
  • Professional approach
  • Proactive, reliable and responsible
