General Services Administrator

Main Purpose

To provide a professional administrative/receptionist service, continuously improving the quality, efficiency and effectiveness of services offered.

Main Responsibilities

  • First point of contact for all visitors, ensuring they sign in to the guest book on arrival
  • Answer/transfer calls and take messages
  • Take bookings for the meeting rooms
  • Arrange hospitality, flights and accommodation for members of staff
  • Update all telephone lists, ensuring the information is current
  • Envelope and frank outgoing mail and deliver to the sorting office
  • Maintain and update the Company Intranet and Reception welcome screen if required
  • Provide administrative support to other staff members, including binding and presentation preparation
  • Checking and restocking of staff facilities, i.e. tea, coffee etc.
  • Ordering stationery and other supplies as and when required
  • Ordering corporate clothing for members of staff
  • Provide Warehouse support in the absence of the Warehouse Manager
  • Undertake all duties in order to maintain an efficient and effective fleet management process
  1. Monthly fleet management reports
  2. Fleet inductions for new starters
  3. Liaising with lease and hire companies, as well as insurance
  4. Keeping an incident report updated
  5. Answering queries from engineers
  6. Ordering new company vehicles
