FUNDING, DATA & PERFORMANCE MANAGER

PURPOSE OF ROLE:
To ensure that all Apprenticeships and external training meets funding, audit, compliance and quality standards. To direct manage the admin function to continually improve their services and provision. To ensure that the company passes all internal and external audits by reporting on KPI's to drive improvement and compliance.

Reports to: Head of Division
DUTIES AND RESPONSIBILITIES:
* Manage admin team and their duties to ensure high standards are maintained across all contracts - including; data entry, system maintenance (PICS), DAS, administration, exam booking, PO maintenance, filing, archiving.
* Conduct monthly 121 reviews and annual appraisals of team, including setting of SMART targets and ensure accountability across all areas
* Manage PICS system ensuring all Apprentice records across all systems are correct at all times through robust data entry and thorough audits
* Produce accurate weekly and monthly KPI reports: Caseload, Activity, QAR, Enrolments, Exam Results, Financial forecasting, Objectives and Progression
* Analyse & identify trends, patterns and observations from reports and make pro-active recommendations
* Produce adhoc reports when needed to support the L&M team
* Ensure thorough understanding of all funding rules and keep updated with changes
* To view and advise on all ESFA funding contracts
* Ensure all ESFA documentation through portals are kept up-to-date and compliant
* Run monthly upload to ESFA and ensure accurate funding - identify and rectify any errors, and make pro-active improvements to reduce risk in future
* Monitor and report all claims and financial earnings
* Identify areas where funding can be maximised
* Manage subcontractor relationships including performance and financials
* Produce all weekly and monthly KPI reports to head of division in clear, professional and formal format, with commentary/trend analysis and recommendations for improvement
* Ensure 100% ESFA compliance through maintenance of checklist and monthly audits across all systems and reports
* Monitor and analyse Apprentice feedback to support improvement
* Track destination data
* Produce SAR
* Keep Quality Improvement Plan updated with measurements and performance analysis
* Manage all internal and third party audits and provide any and all data as requested by Ofsted
* Responsible for improving operational processes and procedures when required
* Contribute to Leadership & Management and Quality Improvement Meetings and take the lead with colleagues to identify performance issues that may affect the KPI's
* Add and monitor online services and the exams portal.
* Monitor and cascade where applicable awarding body/funding updates to all relevant parties and maintain compliance at all times
* Any other duties as and when requested by Line Manager

MUST HAVE:
* Prior experience within a Training Provider in a similar role
* Management/supervisory experience
* Excellent Excel skills
* Strong organisational skills
* Ability to see the 'bigger picture' to drive performance improvements
* MI reporting skills - preferably in PICS
* An excellent eye for detail and a diligent nature
* Strong communication skills
