Front of House Receptionist (Part Time)

Job Summary

Meet and greet staff and visitors to the buildings and to monitor this aspect of the role with other Front of House staff to ensure delivery is consistent throughout the team;

To work as an integral part of the overall Macro managed service and work closely with directly employed and sub-contractor personnel to pro-actively highlight issues / complaints before they are escalated by the client staff;

As the 'face of VWFS’ for all visitors, to follow a consistent approach at all times and be proactive in dealing with ad-hoc client requests, which are outside the normal scope of service;

Key Responsibilities

  • To monitor assigned helpdesk jobs and ensure they are actioned within the set SLA times;
  • To proactively assist in the implementation of recommendations from process improvement reviews and audits;
  • To demonstrate and promote flexibility and adaptability during staff absence by undertaking additional hours and/or swapping shifts when necessary;
  • Meet and greet staff and visitors to the buildings and to monitor this aspect of the role with other Front of House staff to ensure delivery is consistent throughout the team;
  • Ensure the reception area is kept neat and tidy, this includes the seating area;
  • Act as an information source for general enquiries from staff and visitors;
  • Book meeting rooms on behalf of staff and visitors when necessary;
  • Ensure all queries regarding the meeting room booking system are answered efficiently;
  • To work as an integral part of the overall Macro managed service and work closely with directly employed and sub-contractor personnel to pro-actively highlight issues / complaints before they are escalated by the client staff;
  • To maintain a pristine appearance at all times, wearing full issued uniform;
  • As the 'face of VWFS’ for all visitors, to follow a consistent approach at all times and be proactive in dealing with ad-hoc client requests, which are outside the normal scope of service;
  • To ensure that the switchboard database is updated regularly and that all entries are current and accurate;
  • Assist in collating data for monthly reports and KPI figures;
  • Any other ad hoc duties commensurate with position and salary range.

Experience / Competencies required

  • At least 2 years’ relevant experience gained in a similar role
  • Ability to manage time effectively and conflicting priorities
  • Computer literate and experienced in using Microsoft Word, Excel, Outlook and Internet Explorer
  • Ability to problem solve and take appropriate decisions
  • Familiarity with telephony and meeting room booking systems
  • Ability to build rapport and strong working relationships to encourage a supportive working environment
  • Requirement to be flexible in shift patterns to cover ad hoc sickness and leave
  • Previous experience working with board level staff in a financial organisation and their associated expectations
  • Experience of working in a Facilities Management operation
  • Previous experience of working in an outsourced contract environment
