Role Title: Financial Services Administrator

Reporting To: Director

Location: Home Based


Role Purpose

The purpose of the role is to remotely provide effective and efficient administrative and PA support to designated regulated firms, and their clients.

Working Hours

Candidate must have availability during the working week (Mon-Fri, between 9.00 am and 5.00 pm) for at least 30 hours per week and be able to commit to regular hours (whether part time or full time)

Principal Accountabilities, in Accordance with a Regulated Firm’s Current Procedures

The type of support required by a regulated firm may vary, but will frequently require:

 Adherence to a regulated firm’s internal procedures, processes and compliance manual

 Adherence to the FCA regulations

 Submitting new business, monitoring and tracking through to completion

 Organising letters of authority/chasing information, tracking change of agency requests

 Opening, sorting and distributing post

 First point of contact for a regulated firm’s clients, and product providers

 Taking accurate messages and ensuring passed on promptly

 Creating professional & accurate written correspondence, whilst complying with the regulated firm’s documentation standards

 Producing mailshots, and transcribing dictated audio files

 Ensuring appropriate notes & documentation maintained at all times, thus ensuring a quality audit trail is maintained

 Arranging and coordinating meetings, including meeting rooms & refreshments as necessary

 Assisting with preparation for meetings, and preparing review packs

 Updating valuations

 Maintaining back office systems, and investment platforms. Taking personal responsibility for accuracy of data recorded

 Arranging new business Illustrations

 Maintaining a diary system ensuring work is tracked and chased when appropriate.

 Ad hoc administration requests as may be reasonably required by the regulated firm

Technology Skills

 Proficient with Microsoft tools: Outlook, Word, Excel, PowerPoint

 Possess strong and accurate typing skills, and is able to produce letters using audio files

 Able to use Skype, and cloud-based technology, such as Dropbox, Googledrive or Onedrive

 Able to cope with IT and telecommunications equipment

Technical Knowledge and Professional Qualifications

 Experience of working as an administrator within a financial services environment for a minimum of 3 years

 GCSE (or equivalent) Maths and English grade C and above

 Certificate in Financial Planning &/or award in financial administration will be an advantage

 Clear understanding in terms of the obligation that a regulated firm has to its clients and the FCA, including TCF commitments

 Clear understanding of the financial services industry with a good knowledge of regulation, financial legislation, products and services in all relevant areas of personal financial planning

Home Working Requirements

A secure desktop will be provided which you can access through an internet link, giving you access to the servers. A telephone handset and telephone line (which operates through the internet), a fax line, and supply of stationery will also be provided.
