Reporting to the Operations Director, we are looking for a Finance/Operations Manager to join our team and provide exceptional service both internally and externally across our business. This is an amazing opportunity to learn all aspects of the operational requirements of the business from the ground up and for an ambitious, committed individual to grow their career in line with our aggressive growth plan.

You will act as the deputy to the Operations Director in their absence and have aspirations to be the Operations Director in the next 2-3 years. You will thrive in a fast moving, hands-on environment where you will relish a wide variety of responsibilities where no two days are the same!

The role will include:

Financial Management & Credit Control

  • End to end bookkeeping on Xero
  • Daily bank, credit card and factoring line reconciliations
  • Maintaining sales forward order book from information from the sales team
  • Supporting the Operations Director with credit control and managing in her absence
  • Credit checking of new customers using our online software
  • HMRC reporting including P11D’s, Intermediaries reporting etc
  • Supplier management (contract renewals/invoices/payments, evaluating best value and necessity)
  • Staff expense approval and payment via Xero
  • Ad hoc projects to support the business

Contract Management

  • Issuing, tracking and electronically filing customer, contractor and permanent placement contracts - responsible for checking to ensure both internal and external compliance
  • Creation of new customer and contractor files online ensuring all documentation is provided and correct
  • Client invoicing and factoring
  • Contractor payroll including checking and chasing time sheets and setting up monthly payroll
  • Constantly improving on best practice, maintaining Company’s process documentation and updating where necessary
  • Maintaining purchase order records and complying with Customer’s billing requirements

General

  • General office management including stationary ordering, welcoming guests, daily fruit purchases
  • Job board and CRM administration for internal new and lapsed users
  • Keeping up to date with legislation including GDPR by researching best practice
  • Day to day HR paperwork including pension auto-enrolment duties
  • Arranging team events and incentives
  • Working with our IT support team to resolve any issues

Essential experience


Financial qualification: like CIMA, AAT or Accounting Degree - QBE will also be considered

1 years experience using accounting based software like Sage or Xero

Highly numerical with strong attention to detail

Great time management skills

Positive "can do" attitude, sense of humour and problem-solving skills

Nice to have but not essential

Experience of reviewing commercial contracts

Experience of working in a recruitment or sales environment
