Finance Officer

A top University in Central London is looking for an experienced Finance Officer to join their team for a TEMPORARY role of 2-3 months, and must be able to start on 19th February. The responsibilities include:

Financial Management

 - Contribute to the production of the working papers for the annual budget setting and year- end activities in a timely manner.
 - Contribute to the production of monthly and quarterly management reports to ensure the completeness and robustness of the budget figures in relation to actual transactions and forecasts. This will include the preparation of prepayment schedules, accrued income and the investigation and reporting material variances.
 - Liaise with staff to resolve queries on budgets, providing financial advice and information as needed.
 - Undertake reconciliations, investigations and prepare ad-hoc reports as required.
 - Meet regularly with the Finance Manager providing financial information to discuss/assist in senior management decisions and to undertake duties corresponding with the skills and responsibilities of the post as required.

Supplier Invoices
 - Prepare purchase orders and new supplier forms as required.
 - Support the Finance Assistant in the processing of book invoices for payment.
 - Support the Finance Assistant in the entering of book invoices on the library book fund system.
 - Respond to enquiries about unpaid book invoices and other invoice-related queries.

Debtor Invoices and other Income
 - Ensure that new customers are input to the financial system.
 - Process sales invoices as required.
 - Review aged debt report and liaise with Credit Control over unpaid invoices.
 - Reconcile cash and credit card income and match to transactions posted.

Support the Projects and Information Officer
 - Assist in the co-ordination of the financial data for submission of statistical returns, e.g. SCONUL

General
 - Responsible for the preparation of purchase orders, interdepartmental transfers and journals for the team.
 - Responsible for the allocation of library services book fund between the Subject Teams and maintaining/monitoring the fund on a regular basis.
 - Responsible for training library staff in the use of the finance system.
 - Responsible for updating the exchange rate on the library management system.
 - Manage and check the department purchasing cards
 - Monitoring commitments and orders and clearing these down as appropriate
 - Update procedures and other finance documents on the department web pages
 - Monitor the group email address to ensure that emails are responded to in a timely manner

Other duties:
 - To perform clerical functions incidental to financial reconciliation and analysis.
 - To carry out any other duties as are within the scope, spirit and purpose of the job as requested by the by the line manager & other senior staff acting as Duty Officer or the Director.

 - The post holder will maintain an awareness and observation of Fire and Health & Safety Regulations and may be required to undertake Fire Marshal duties, after appropriate training.

Essential Criteria:
 - Experience addressing Financial Queries
 - AAT qualification or equivalent
 - Good knowledge of accounting procedures
 - Good data analysis
 - Experience of using an accounting/finance system (preferably Oracle)
