Position: Finance Administrator

Contract Type: Permanent (Full-Time)

For the role of Finance Administrator you will be responsible for ensuring that you to provide assistance to the wider finance team with opportunity for future development. Sales and Purchase Ledger responsibilities, reconciliations, completion of weekly and monthly financial reporting, including the preparation of information for journal entry during trading. Collation of the collation of data for the BRM and budget process.
Key Responsibilities in this role will include;
Raising Purchase Orders via Oracle, including maintenance of purchase order / procurement log and adhering to DHL Supply Chain Procedures.
Ensuring procurement processes are compliant
Preparation of periodic and weekly out turn reports for the site to support the AFM and Regional FM - understand variances to budget
Using the Oracle R12 GL and working with Ops teams to produce accurate forecast for the month.
Assist in preparing and maintaining the financial accounts in the computerised accounting system.
Appropriate preparation pre-trading, support with resolving prior month BSR variances/issues, using BSR as a working paper
Utilise BSR as control document for asset & PO control.
Raising ILJs to other cost centres
To review and upload monthly payroll for drivers warehouse operatives, clerical and managers .
Ensure adherence to DHL policies and good accounting practice
Communication with sites to understand trends and causes of cost variances
Reflect previous months prepayments & understand root cause (utilising BSR)
Running housekeeping reports for purchasing and sales to adhere to DHL policy and controls.
Mitigating risk of costs through non compliance charges and invoice rejection charges
Work proactively in chasing down PO approvals and checking PRF for accuracy in terms of cost centres and prime codes to ensure cost are correctly allocated to the correct contract and cost string
Ensure normal accounting procedures are followed in order to maintain a high degree of accuracy in the accounts
Support the AFM and Regional FM by ensuring site controls compliance and weekly / monthly reconciliations are completed. EG, Payroll, Vehicle, Internal invoices, CMC recs etc seeking guidance to rectify and anomalies
Adhere to all Health and Safety Legislation, policy and procedures
Any ad hoc additional tasks that may be require to meet the demands of the contract / business.
Reports completed accurately and on time
Accuracy of work carried out and advice/information provided
Agreed processes adhered to
Attend relevant meetings to build relationships and gain operational knowledge
