Creation and maintenance of a high quality safe environment in and around the office environment and seen as the go-to person for all housekeeping and support requirements.

Key Responsibilities:

Site Maintenance

Carry out statutory maintenance & inspections and mandatory site maintenance and expectations, including:

Monthly Emergency Lighting tests and record keeping

Quarterly RCD/RCBO testing and record keeping

Ad hoc Portable Appliance Testing

Drive remedial maintenance work

Managing/Maintaining Planned preventative maintenance schedules

Manage waste and recycling in a green efficient manner

Health & Safety

Ensure compliance across the office for Health and Safety Legislation

Support Annual Fire Risk Assessments with EHS manager

Complete thorough Risk Assessments

Responsibility for maintaining Training and Record Keeping of Fire Wardens, First Aiders

Manage a safe working permits systems

Internal Stakeholders

Support collaborative relationships across the office to make sure that Facilities Management is continuously aligned to and supports our vision for the future

Be visible to staff and internal stakeholders and regularly undertake activities to engage and build trust with people involved in priority areas

Office Consumables

Control the allocation of work environment, facilities and office equipment, and prepare capital expenditure proposals

Employees’ workstations arrangement and optimization, arranging of furniture when required

Ensure that the office space meets manpower requirements and employees have the space & tools to do their job

Manage the cleaning and housekeeping aspects of the office environment

Supplies and equipment purchasing where necessary

Keep inventory records of goods and materials, supplies, consumables, furniture and any other company property

Project Work

Day to day planning of key office projects, including expansion and changes as and when they occur

Contractors

Liaise with contractors to ensure compliance with site procedures and company code of practice and regularly monitor their performance

Vendor Management

  • Manage all relationships with Property Management Company and Landlord
  • Manage all relationships with utility providers
  • Ensure that the Service Level Agreements and any sub-contract service providers are achieved and updated as and when required
  • Ensure expiry of contracts are well-monitored and re-procurement is initiated if needed
  • Ensure contracts are continually assessed to deliver best value to the business
  • Work with local communities liaison as and where appropriate i.e. Police/Fire

Emergency Planning

  • 24/7 emergency call support and site attendance is required
  • Risk Management
  • Ensure a property risk management program including audits is implemented and maintained
  • Ensure disaster recovering and business continuity plans are implemented and maintained

Qualifications:

  • Preferably registered with the British Institute of Facilities Management (BIFM/Chartered Institution of Building Services Engineers (CIBSE) at a full member level
  • An experienced H&S Practitioner ideally holding and IOSH Certificate

Experience

At least 5 years experience within a facilities function
