Responsibilities:

  • To oversee and manage all Property and Facilities controlled activities within the work environment to ensure they are carried out to the highest standards of (internal/external) customer service and in compliance with all relevant company policies and procedures, the Leasehold Agreement and with statutory obligations relating to Health & Safety and Environmental Conservation/Protection.
  • To carry out H&S checks and risk assessments and updating appropriate records to ensure compliance with relevant legislation.
  • To manage all external service providers of Property and Facilities Services so that they perform according to the agreed performance standards and work schedules, eg planned preventative maintenance (PPM), operating procedures and cost structures.
  • To monitor and control the Annual Operating Budget for Facilities services to ensure expenditure is in line with the budget.
  • To plan, implement and supervise minor office moves (ie excluding alterations to building fabric, plant and equipment) not exceeding 40 workstations at any one time to ensure they are accomplished with minimum impact on business as usual.
  • To maintain up-to-date accurate records relating to statutory requirements, O&M manuals, warranties and to spatial utilisation so that any audit or query may be quickly and accurately serviced. To include responsibility for ensuring all Property and Facilities processes and procedures remain up to date at all times.
  • To assist the Regional Facilities Manager as required to ensure the effective management and utilisation of the property and the continuing development of industry best practice across the company's estate.
  • To develop effective liaison and communication links with the Business Unit Managers and Landlord agents so that positive working relationships are established. Therefore, early notice of new business requirements is achieved and plans to service them can be developed and implemented to the required timescale.
  • To assist in the preparation and upkeep of the Disaster Recovery Plan so that the plan can be successfully executed when required.
  • To ensure that service delivery effectively supports each business area; within company policy, resource availability and Facilities best practice. Manage customer expectations where required.
  • To take on and manage through to conclusion projects as delegated by Regional Facilities Manager/Estate Manager/Head of Property and Facilities.
  • To ensure policies and procedures are up to date and adhered to.
  • To ensure effective management of staff in line with company policies and procedures.
  • To provide cover, support and assistance at various locations within the UK portfolio, as requested by the Regional Facilities Manager/Head of Property and Facilities.
