Facilities Coordinator

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a part-time Facilities Coordinator to join the team located in Winnersh, Reading. The successful candidate will be responsible for the delivery of day to day operational services, coordination of all business management functions and customer services, including environmental, financial, commercial and operational results.

Role Summary:

  • Hard and Soft FM services and any other contracted services
  • Provide timely / accurate management information and report for use by the FM Management team
  • Responsible for ensuring a safe and sustainable environment
  • Managing quality, audit and performance against targets
  • Review and update the GWS log books
  • Identify non-conformance issues and implement necessary processes / procedures to effectively deliver exceptional customer service
  • Liaise with and assist the GWS Helpdesk for PO’s and Work Order administration
  • Understand budgets and liaise with Finance to ensure timely billing information
  • Ensure precise coordination of all business management functions
  • Perform administrative tasks, maintaining good auditable paperwork
  • Undertake Workplace Inspections, take ownership and follow up on any actions
  • Engage with all supply partners ensuring a swift response to all service requests
  • Monitor reporting daily
  • Maintain effective supplier relationships
  • Performance Management of Supply Partners and Contractors
  • Build collaborative working relationship with other UK locations to ensure all processes and services are aligned
  • Review and deliver on all work orders within SLA / report back for close outs
  • Provide all services in a prompt, efficient and professional manner to both internal and external customers
  • Manage supply partners delivering services to 'core areas’ on behalf of CBRE GWS at sub building (710)
  • Maintain regular contact with the UK Customer Business Manager, consult on key decisions and advise of incidents, escalation and complaints


Experience Required:

  • Proven experience in similar role
  • Experience of client, team and supplier management
  • Engineering, Technical or FM qualification (advantageous)
  • Knowledge of Maximo FMP or other type of CMMS application tools
  • Excellent knowledge of Health Safety and Environmental best practice
  • Fully PC literate
  • Experience at interfacing at all levels throughout an organisation
  • Good presentation skills
  • Ability to plan and prioritise
  • Strong organisational skills
  • Understanding of high level of customer service
  • Excellent attention to detail
  • Excellent communication and people skills
  • Good financial acumen
  • Proven leadership skills
  • Understanding of contracts and negotiations
  • Self-motivated and able to work on own initiative
