Facilities Co-ordinator

My Client based on the outskirts of Birmingham are looking to recruit a Facilities Co-ordinator to support a dynamic, fun and wonderful Facilities manager. This role will be her right hand person. The role will entail assisting with the management of other sites including London and east Midlands.

  • To assist with the smooth running of the FM office, filing, photocopying, faxing, scanning, ordering stationery, maintaining notice boards etc.

  • To complete weekly timesheets and expenses

  • Assist with the management of holiday/sickness

  • Plan and arrange call outs and maintenance visits, processing documentation as appropriate

  • To assist the Facilities Manager is monitoring the cleaning on site

  • To carry out regular walks of the floors to check on maintenance, cleaning , health & safety and reporting any issues as necessary

  • To co-ordinate and manage the log books on site

  • Assist with the production of the production of reports

  • To place orders and liaise with contractors to book in extra works

  • To ensure the Work in Progress/budget tracker is up to date - running reports as appropriate

  • To raise sales invoices and process supplier invoices

  • To co-ordinate and process quotes for materials/extra works and co-ordinating delivery in a timely manner

  • Liaise with suppliers to assist the Facilities Manager in the resolution of invoicing queries and billing

  • To log hazards and other documentation

  • Partake in regular team meetings to update on progress and discuss relevant issues

  • To assist the post room as and when required

  • To assist with room set ups as and when required

  • To be aware of and comply with the company and statutory requirements regarding health, safety, fire and hygiene

  • Encourage self to continually look for areas of service improvement, maintaining a "can do" attitude

Applicant will have relevant experience of the above. Exposure to facilities or property would be desirable although not essential. Good administrative and system skills are key.
