Facilities Administrator / Receptionist - 12month FTC

Salary: £17,500pa + 5% flexible benefits fund

Location: Tingley, Wakefield

Contract: 12month FTC

Role Overview

We are looking for an organised individual to provide facilities and administrative support to the Facilities and Premises Department in the Tingley office. You must be adaptable with the ever changing workload and be able to prioritise to fit the business needs. Part of this role will involve sharing reception duties, covering reception from 1-5pm and during periods of annual leave.

Key Responsibilities

  • To receive and route incoming and outgoing mail, courier deliveries and courier requests,

  • To maintain records and filing systems, retrieving information as required. Including maintaining compliance trackers and site files

  • To procure and manage goods and services including stationery and maintain adequate stock levels

  • Respond to reports of faults on office equipment, fixing where possible or logging request for further action (e.g. engineer call out) to ensure all out of order equipment is returned to working order as quickly as possible.

  • Maintain and produce ID Security Cards, creating access levels as required.

  • To undertake Reception duties from 1pm-5pm daily which includes managing the car park, organising couriers and deliveries, setting up guest wi-fi, printing meeting room booking sheets, dealing with visitors internal and external, dealing with archiving requests

  • Assisting with minor internal office moves

  • Managing the Facilities Helpdesk requests, resolving where possible and escalating if required

  • Assisting with various internal and external audits when required

  • Assisting with the management of the Environmental Management System

  • Undertake monthly cleaning audits and monitor standards

  • Conduct daily health and safety audits, making sure documentation is kept up to date

  • Liaising with contractors, suppliers and landlord managing agent - maintenance, catering, security

  • Managing the weekly maintenance list and ensuring work is carried out as required

  • Working closely with the Facilities Manager and deputing when required

  • Produce monthly facilities newsletter

Essential Skills

  • Well organised and adaptable

  • Experience of PC packages - Word, Excel and PowerPoint

  • Experience dealing with internal/external customers.

  • Facilities support exposure

  • Health and Safety awareness

Desirable Skills

  • Previous administrative or facilities experience
