Executive Support Officer

My Client is a local Government authority and they are looking for an Electoral Services Assistant to start ASAP for a 9 week contract. Details of the role are as follows:

  2. Diary management
  3. Minuting meetings
  4. Researching and drafting of documents and reports
  5. Budget/financial monitoring and management including ordering / invoice processing
  6. Formatting and delivering reports and presentations
  7. Providing practical support to enable senior managers to function effectively
  8. Acting as an ambassador for the Senior Management Team with regards to communicating with internal and external stakeholders


  1. To provide high quality executive support to the Senior Leadership Team which includes but isn't limited to:
  2. To provide a complete personal and confidential executive support service to the Director
  3. To convene, minute and service a range of strategic multi agency and departmental meetings, where appropriate, following up any actions as necessary in order to ensure effective management of the Service
  4. To support chairs, including the Director and Lead Cabinet Member, of a range of high level meetingsTo provide support as required for groups and services for which the Director holds overall responsibility, including attending, minuting and coordinating meetings and actions as requiredTo liaise as necessary with Chief Officers, Service Heads, Senior Managers, Councillors, MPs, Chief Officers of Authorities, Central Government Officers, Directors of outside companies, and members of the public, as requested.
  5. To be responsible for progressing Councillors' and public enquiries in terms of recording receipt, co-ordinating replies and progress chasing outstanding items as necessary.To establish good communication with outside agencies and good relations with managers and staff in the divisionTo research and draft notes, letters, reports and policies for implementation throughout the division; co-ordinate the collection of material from staff and other sources and the collation of this into documents and reports.
  6. To be involved in the planning, and coordination of conferences, seminars and events on behalf of the Director, liaising with services and external agencies regarding booking of venues, attendance and special requirements, preparation and timely distribution of information and acting as point of contact throughout to ensure the smooth running of the programme.
  7. To deal with incoming mail, redirecting as necessary, within and outside the office, to prioritise in terms of importance and urgency for the Director, taking into account frequently changing priorities and deadlines.
  8. To provide secretarial and administrative support to consultants working within the division.
  9. To provide cover support for other members of the Executive Support Team as needed.
  10. To provide occasional line management of temporary staff.

  2. To monitor performance indicators and provide information for service plans, reports and audits. To work with internal and external auditors, providing evidence of compliance and ability to address areas of weakness.
  3. To work with senior officers to ensure the collection and analysis of statistical information to include preparation for audit, procedural consistency, and appropriate monitoring and development.
  4. To assist with the management of information and performance data and to provide information on quality.
  5. To ensure effective data collation across the division (900 staff) relating to sickness absence, appraisals and CRB checks.
  6. To set up and produce spreadsheets and statistical reports as requested, To organise and maintain appropriate filing systems.
  7. To develop monitoring systems to support the commissioning of new services.


Competencies and Skills

Qualifications and/or experience.

Considerable experience in the provision of wide ranging high quality executive support

Managing Workload

Demonstrable organisational skills such as multi-tasking, using initiative, problem solving, working independently and prioritising workloads; and the ability to be resilient in a pressurised environment subject to changing workloads and conflicting priorities.

Personal Support to Directors

Considerable experience in the provision of wide ranging and accurate administrative/secretarial support at a high level in a professional environment, including dealing with correspondence, organising meetings and handling confidential and sensitive issues.

Management of Staff

Ability to manage occasional staff such as apprentices.
