Salary: Circa £35,000

A truly global organisation are currently seeking an experienced Executive PA to work with 2 Senior Board Directors. The Executive Assistant is expected to be fully aware of the Directors’ goals because helping them achieve their strategic objectives is a fundamental requirement of the role. The successful candidate will need the ability to prioritise and remain focused under pressure; have flexibility, adaptability and change responsiveness in an atmosphere of constantly shifting priorities.

Main Responsibilities and Duties:

  • Take full responsibility for diary management, arranging meetings for the Directors both internally and externally, co-ordinating across the Business with the key objective to maximise time utilisation.

  • Co-ordinate and organise travel arrangements for the Directors and for those travelling to divisional meetings.

  • Organise the annual conferences to include travel, accommodation and other related aspects for General Managers.

  • Prepare quarterly reports, Board reports and forward plans as well as other monthly reports using Word, PowerPoint & Excel . To include data inputting, checking and chasing information from General Managers and General Finance.

  • Be a part of the Directors Management Team, organising, coordinating regular monthly meetings, in addition to being a pro-active participant.

  • Screen telephone calls, enquiries and requests, handling them when appropriate, following up any actions.

  • Opening and managing post, responding or drafting a response as appropriate and within your knowledge and remit.

  • Pro-active Management of the Director’s emails, responding when appropriate and within your remit, highlighting those that need immediate attention.

  • Work as a key member of the EA team, ensuring the highest standard of communication and co-ordination within this group.

  • Manage and organise papers for meetings to make sure the Director is well prepared.

  • Undertake ad-hoc projects as requested by the Director.

  • General administration duties including maintaining office systems

Person Profile

  • High level of experience within Microsoft applications such as Word, Excel, Outlook and PowerPoint

  • Previous exposure of working in a similar role for a Director/Senior Manager within a large global company over a period of 10 years.

  • Must be self-confident and able to work under pressure

  • Ability to work on own initiative with minimal supervision

  • Ability to see projects through from start to finish, managing time and tasks effectively.

  • Ability to manage a heavy workload and at times conflicting priorities as well as tracking progress on a wide range of tasks

  • Excellent interpersonal skills

  • Ability to communicate effectively, both verbal and in writing

  • Extensive diary management experience

  • Organising complex travel itineraries and conferences

  • Excellent typing skills with the ability to draft correspondence on behalf of the Directors

  • Ability to speak German, Spanish, French, Italian or Russian would be an advantage but not essential
