Role Overview

As Executive Assistant to the Director of the Commercial Sector at Sopra Steria, you will be required to provide a high level of confidential secretarial and administrative support to support him with his day. You will ensure that his correspondence, diary and travel (amongst other responsibilities) are effectively managed and that he is able to make best use of his time.

Key Responsibilities/Accountabilities

  • Organise and summarise papers and reports, conducting additional research where necessary, to provide relevant, concise and easy to read information which will assist management decision making.

  • As requested prepare accurate and well written communications and reports on behalf of the Sector Director, working with the Communications and Marketing team as needed

  • Manipulate, interpret and draw conclusions from data and information, for instance Sales league tables, as required by the Sector Director

  • Attend meetings, record actions and liaise with senior managers and external contacts, as required, on behalf of the Sector Director.

  • Perform ad hoc project work, in support of Sector strategy, as requested by the Sector Director.

  • Produce accurate and visually engaging Powerpoint presentations for use at meetings as needed

  • Screen the Sector Director’s incoming mail and telephone calls and respond or redirect as appropriate, obtaining additional information where necessary

  • Schedule appointments, co-ordinate travel and accommodation arrangements and produce itineraries which optimise the use of the Sector’s Director’s time and minimise cost.

  • Co-ordinate the arrangements for internal and external meetings, passing relevant paperwork and background information to the Sector Director in advance such that he is fully informed and prepared

  • Follow up and track progress of meeting action items, as requested by the Sector Director, to ensure agreed actions are implemented within the given time frames

  • Administer expenses and invoices, as required, in an accurate and timely way.

Essential Skills Experience and Knowledge

  • Significant experience of working as a PA/Exec Assistant in a busy, fast moving work environment, including:

    • Strong diary management experience

    • Taking notes at meetings

    • Preparing PowerPoint presentations

    • Arranging travel

  • Effective keyboard skills

  • Working knowledge (at least intermediate) of Word, Powerpoint and Excel

  • Strong written and verbal communication skills

  • Ability to work with minimal supervision and to use own judgement to resolve problems

  • Effective planning and organisational skills

  • Strong interpersonal skills with the confidence to attend meetings and communicate with senior managers on the Sector Director’s behalf

  • Effective analytical skills in order to interpret and draw conclusions from data and information
