Executive Assistant to the Group Finance Director

Prestigious automotive company is looking for an experience EA/PA to the Group Finance Director

As an Executive Assistant you will manage busy diary of the Group Finance Director of leading automotive group, being proactive and effective in deciding how to prioritise and triage urgent requests on diary time while still reserving space for on-going essential commitments. The Executive Assistant will make administrative arrangements for meetings and events including room bookings and will be responsible for the preparation and circulation of papers, and following up on identified action points. You will also oversee a complex inbox, filtering emails, replying autonomously where appropriate and flagging up any needing urgent attention. The role involves general secretarial duties including setting up, maintaining and improving effective administrative procedures and processes, including record-keeping and filing systems. Providing all secretarial and administrative support. The Executive Assistant will also be responsible for the maintenance of staff records, including attendance and training data, preparation of staff appraisal forms, bonus and pay review correspondence. Also acting as first port of call to mediate any staff/personnel issues arising within the Finance team in a professional and confidential manner. You will also provide front-of-house welcome to external colleagues and visitors to the department. Head Office can be a busy environment with both regular and ad-hoc meetings and events requiring catering and some travel & accommodation booking, which will be part of your responsibility.

As a Executive Assistant we would like you to have an interest and passion in what we do. With a professional appearance we would also appreciate it if you had scheduling and planning experience, excellent organisation and communication skills, and be highly motivated. You must be IT literate and be highly skilled in all Microsoft packages particularly email and calendar Other skills you will need are:

  1. Educated to A’ level standard or equivalent
  2. High standard of literacy and ability to proof read draft correspondence
  3. Excellent interpersonal skills and ability to deal with high profile contacts at all levels, both internal and external
  4. Ability to absorb substantial detail and keep track of a range of diverse activities and to make connections between them
  5. The ability to work independently, with minimum supervision, good self-motivation and a willingness to resolve situations, as well as knowing when to refer issues to others
  6. Ability to manage a variety of tasks at the same time and to organise and prioritise own workload and deal with unpredictable volumes of work. A flexible approach to work is essential
  7. Ability to develop a thorough understanding of the role and priorities of the Finance Director, in the context of the Group and the wider business
  8. Attention to detail
  9. A professional approach and the ability to deal appropriately with highly confidential issues with the utmost integrity
  10. Previous experience as PA or EA to a senior director in a fast paced demanding environment
