Having a trusted Executive Assistant is vital to any Director. Especially a Director with an entrepreneurial spirit that throws ideas out left and right. This type of Director needs an Executive Assistant that can work out the logistics of multiple projects, has a creative flair and knows how to priorities a busy workload.
The 'Standard responsibilities’
As an experienced Executive Assistant, you will already know this stuff. This is the stuff you have been doing since your first day as a PA;
- Diary management for multiple diaries.
- Managing meetings including distributing agendas and minute taking.
- Answering incoming calls from customers and suppliers.
- Managing company policies and ensuring Documentation is stored correctly and safely.
- Dealing with technical matters and speaking to IT providers when issues arise.
- General office administration (Stationary Ordering, Stock Ordering, Post, Filing etc)
- With the assistance of area managers, you will ensure all customer data is correctly stored on the company database.
All pretty standard for this type of role.

You will be playing the role of 'Right hand person’ to the Director. If they have an idea, they will be looking to you to find out if it can work. The ability to project manage is vital to this role.
Someone that is procedure driven will not be comfortable in this role; one of the exciting things about working with an Entrepreneur is that they are so open to new ways of thinking, working and making the business work and be successful. As much as there are procedures in place, you will be trusted to do your role in the way you are able to be most effective.
You will need to ensure you are always up to date with Health and Safety procedures as you will be the H&S Representative for the office.
The Director you will be supporting
The Director is a self-made entrepreneur, starting a business just over 10 years ago as a 1-person business. They now have over 300 members of staff across South Wales and South West of England. They have won awards for their work, spoke at public events and attended events within Downing Street and the Nato Summit.
You need to be able to think strategically, be able to adapt quickly and understand that the role is in a fast-paced environment. You need to be comfortable enough to give constructive feedback when needed, able to be self-reliant and resilient enough to handle the challenges that come with the role. You need to be 'Financially savvy’ and understand different technologies as you will need to recognise what systems the business uses, what they do and where costs may be saved, or additional support needed.
