We have a new and exciting opportunity for an Executive Assistant / Personal Assistant based in London for our client, one of the largest and most influential insurance brokers in England.
Offering a complete specialist insurance service to companies in all sectors, this role will be to facilitate the smooth running of the Chief Operating Officers offices and to conserve the Chief Risk Officer and other Director's time through efficient organization and proactive support.
Responsibilities will include:-
-Provide proactive and responsive support to the Chief Risk Officer and Directors, ensuring operational efficiency in daily matters including maintenance of electronic diary, address book and filing systems; dealing with and independently responding to incoming information and communications (telephone, electronic, paper); organisation of internal and external meetings; accurate and timely production of minutes; organisation of travel plans; maintain holiday and sickness records; management of expenses;
-Positively represent the Senior Executives amongst a broad range of stakeholders, including employees and board directors, clients and other professionals from the insurance broking industry including regulatory, as well as suppliers, competitors and the media;
-To present a professional and polished approach within the organization as well as externally when attending meetings or events;
-Prepare well-written and professionally presented correspondence, reports, spreadsheets, briefing papers and presentations for meetings, workshops and conferences;
-Monitor projects and deadlines across the Group and manage an annual calendar of company events, including: strategy planning, budgetary setting, staff appraisal and reviews, etc.;
-Liaise with key personnel in each of the functional areas to ensure deadlines are met and results followed up;
-Assist in the preparation of reports by collecting and analysing information, or by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics;
-Maintain a high degree of confidentiality in respect to all aspects of responsibilities;
-Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions;
-Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
-Good knowledge of the insurance brokerage industry, industry practice and law;
-Understanding of basic corporate law, finance, governance, company secretary role and management;
-Awareness of market participants, protagonists and client motivators;
-Business planning and general financial awareness;
-Sales and Marketing techniques and methods;
-Senior / Board-level requirements and expectations of the PA or EA role;
-Advanced communication skills, excellent standard of written and spoken English;
-Strong planning, organisation and problem solving skills;
-Exceptional time management skills and the ability to work effectively within tight deadlines;
-High levels of integrity and proven experience of working to stringent levels of confidentiality;
-Strong interpersonal and influencing skills;
-Confidence and ability to retain and develop internal and external business relationships;
-Enthusiasm and willingness to work flexibly, if necessary;
-Knowledge of companies Act 2006 and previous legislation in relation to corporate law;
-Knowledge of the FCA including reference to insurance requirements of the Financial Services and Markets Act 2000;
-Knowledge of the Data Protection Act;
-Microsoft Office to advanced level, including: Word, Powerpoint, Excel, and Outlook.
