Executive Assistant / Property Manager

To act as an Executive Assistant to the owner who works in the film industry.

To work with the owner and property agencies in managing a portfolio of properties across commercial, residential and holiday lettings.

To perform office duties in association with the owner and accountancy firm

Executive Assistant Role

To organise diary and plan meetings where required for the owner. To act as a point of call for film related enquiries. To attend film festival events where required. Therefore a love of film and TV with a good knowledge of current and contemporary release and enthusiasm for the business would be an advantage.

To maintain a strict set of digital accounts and filing, This includes OCR scanning of all documents and backing up to shared folders. Liaising with accountants of the company for book-keeping using "Quick Books Online". Adding of invoices for VAT purposes, preparation of quarterly VAT return. Listing of expenses, vehicle expenses. Archiving of physical files by date and entry.

Property Management Role

Co-ordination of maintenance and repairs for the property portfolio, overseeing the addition of new properties to the portfolio, managing check ins and outs, organising and carrying out inspections, managing deposit returns, tenancy agreements, collating documentation/certificates and creating/managing inventories. (Additional duties not listed may be required). Most of this work is undertaken by agents so it is more a case of liaising with them on the above.

These include dealing with tenant enquiries, organising repairs, dealing with builders and renovations. Advertising for new tenants. Dealing with solicitors concerning leases , land charges registry, surveyors. Checking an inspection of properties and security of vacant properties.

Liaising with Holiday Management agencies concerning bookings of holiday properties.


This is an exciting but challenging role that requires a high level of organisation and ability to work with the owner and their eclectic life-style. It would suit someone dynamic who is a frequent user of technology as a productive tool. Someone who is business minded and able to communicate clearly. Someone who knows their way around a spreadsheet and online diary.

The working hours for the position are flexible 45 hours per week. As a Managing Executive you will be expected to be available outside office hours, weekends and Bank Holidays unless otherwise approved.

Therefore the position can work from home, on site, and locations in the UK and abroad where requested. Though mostly Norfolk Coast and Norwich this could also include travel to London and abroad, in line with the Executive Assistant aspect of the position.

A company car, laptop and mobile phone will be provided. A Criminal Record Check and full Non-Disclosure agreement will be required.
