Executive Assistant - London

We are keen to secure a professional EA to help support a very busy and demanding CEO of a Global Software Technology organisation, working out of their HQ office based in London. The role will entail a broad range of administrative support tasks and requires someone who can work in a fast paced and robust environment, whilst showing initiative, attention to detail and the ability to be self-managed/motivated.

Duties Involved:

  • Supporting the CEO with day to day administration duties such as diary management, email correspondence and any adhoc requests (private or business)
  • Manage and process all expenses, collating receipts and travel costs accordingly
  • Book and coordinate complex travel itineraries
  • Coordinate and book all meetings to include venues, catering and equipment
  • Working with the Management team in providing Stats and performance data
  • Contribute to a harmonious work environment through the provision of an exemplary service in regards to communication and delivery of assigned projects - able to work autonomously
  • Ensure consistency and accuracy of all captured data, tracking and tracing information where necessary on business performance and measurements
  • Coordinate training programs as necessary to ensure compliance with relevant policies and procedures
  • Provide relevant management reports, statistics, trends analysis and other ad hoc reports as required
  • Prepare complex Sales presentations (internal and external) for the team using PowerPoint
  • Provide sales administration support to other team members as required
  • Distribute weekly stats to individuals and report on out of office days
  • Manage and track holiday and sickness days in the team
  • Project work (such as working on new systems and processes)
  • Identify smarter ways of working and assist the team in managing a demanding work load
  • Contribute to newsletter content for the team

Knowledge, Skills and Experience:

  • Experience of working as an EA with the ability and attitude to take on any task
  • Previous work experience within a Sales Technology organisation
  • Advanced Excel skills
  • Good knowledge of Microsoft Office Suite including PowerPoint
  • Strong and polished telephone communication skills
  • Attention to detail
  • Sense of urgency to tasks
  • Accountability
  • Able to function in a high pressure environment and meet set deadlines
  • Well organised with ability to prioritize and manage multiple tasks
  • Excellent written and verbal communication skills
  • Self-starter who acts on initiative with a professional manner and presentation
  • Graduate Calibre
