Events Executive

Events Executive: An experienced, commercially-minded, dynamic Events Executive is required to work with the existing team to ensure the smooth delivery of events for the industry body and public policy advocate for the UK private equity and venture capital industry with a membership of over 600 firms.

The ideal Events Executive will have proven, demonstrable experience of delivering successful events, preferably with a focus on dinners, drink receptions and conferences. Applications from candidates with industry knowledge gained from either an agency or client background are equally welcome.

The role is based in central London, Mon - Fri but will include occasional travel within the UK and will require the candidate to be flexible with regards to working hours leading up to, and during the events.
The successful candidate will have at least 3 years' event management experience and is now looking for the next step within their event management career.

Responsibilities:
*Source, recommend and book venues for designated events within London and the regions.
*Ensure that budgetary targets are achieved for the event. Regularly update the Events and Training Director on figures.
*Liaise with the Communication Department to ensure all event design work is booked in and created in advance and that all event marketing activities are planned and carried out in advance of the event
*Arrange speakers for the event where necessary.
*Liaise with venues to ensure setup, catering and AV requirements are met.
*Source, recommend and book relevant suppliers for designated events.
*Delegate management; including event bookings, pre and post course correspondence such as confirmations, questionnaires and general enquiries. Delegate reporting, e.g. ratios.
*Ensure CRM is updated with relevant contacts, marketing lists, course bookings and survey results.
*Process delegate bookings requested via telephone, event and training or personal inboxes, ensuring terms and conditions be adhered to and maintaining records of attendee numbers and sales in CRM, Evocos and relevant spreadsheets.
*Produce event collateral such as programmes.
*Work on site at each event to ensure smooth delivery, this involves travel around London and some overnight stays within the UK.

Skills & Experience:
*A minimum of 3 years' event management experience within a corporate or charity sector with experience of organising a dinner of 100+ guests.
*Strong project management, organisational and team skills with the ability to manage multiple day-to-day tasks while maintaining high standards
*Excellent attention to detail and proof reading skills.
*Excellent written communication and presentation skills.
*Professional telephone manner combined with polite and persuasive communication skills.
*Collaborative and consultative approach; strong work ethic.
*Proficiency in the use of MS Office including Outlook, Word and Excel.

Desirable
*Knowledge of London venues and suppliers.
*Educated to graduate level.
*Experience using a CRM database.
