Main Duties & Responsibilities:

  • Supporting the production and development of our global portfolio of high level business conferences in the Telecom, Media, Tech sector
  • Learning the business aims, key clients, programme issues and delegate profile of our events so you can liaise effectively with clients and colleagues

Event Management & Logistics:

  1. Managing the Event Mobile App

Creating, developing and managing the mobile app for all events including:

  • Scheduling
  • Programme, Speaker, Content updates
  • Interaction with delegates and sponsors
  • Developing ROI and commercial opportunities
  1. Event Guide, Banners and other onsite materials
  • Assisting with producing and ordering the event guide and other onsite materials (Banners, Flags etc) for each event
  • Checking programme and speaker info
  • Liaising with sponsors to ensure they are happy
  1. Producing Delegate Lists, Badges and Joining Instructions
  • Producing, checking and printing conference badges and delegate lists
  • Producing joining instructions and post-event feedback forms for attendees as requested by the events team

4. Logistics and other materials

- Acting as assistant logistics contact (reply to general queries, liaise with venues, assist with session floor plans, AV equipment)

- Stock management of conference equipment and ordering the necessary for each conference

Programme Development and Speaker acquisition:

  1. Helping team to meet Speaker acquisition targets

- Research, identify and persuade key business leaders to speak at global conferences

- Liaising with existing and potential speakers and delegates by telephone and email

Marketing:

  1. Updating the Website and other online marketing
  • Uploading speaker bios, photos, agendas, sponsor logo upload
  • Maintaining and checking events websites for errors
  1. Social Media:
  • Tweeting about new speakers, sponsors and conference information and
  • Sharing PRs and other updates on LinkedIn
  1. Marketing Schedule:
  • Assisting with competitor analysis and calendars
  1. Partnerships:
  • Contacting media partners and listing our events on calendars for each event
  1. Press Releases:
  • Publishing PRs and tracking results
  1. Database and CRM:
  • Aiding the development of the Database and CRM systems

Key Deliverables for Month 1-3:

1.1 - Managing and updating the Mobile Event App for our World Congress event

1.2 - Developing knowledge of programme, speaker, sponsor details for the event

1.3 - Supporting production of key materials for World and learning to do it independently next time

1.4 - Helping team to hit key Speaker acquisition targets for our World Congress & Media Leaders Summit, Asia and Africa in Cape Town

1.5 - Contacting media partners and listing our events on calendars for each event

1.6 - Aiding the development of the Database and CRM systems

1.7 - Liaising with speakers for our events
