An exciting opportunity has arisen for an enthusiastic Events Co-ordinator to join a B2B media company in NYC to support a small team working across a portfolio of industry leading conferences, think tanks, awards, and networking events. The role is based in the New York office and offers the opportunity to gain hands-on experience in the events industry.

The Events Co-ordinator will have the ability to hit the ground running, manage multiple projects at once, and must have a keen eye for detail. The role includes management of attendee/ sponsor logistics and also supporting the events team with ad-hoc day-to-day tasks.

You will work closely with the events and sales teams and report directly to the Senior Events Manager. We require someone who is willing to take sole responsibility for tasks as we enter a busy period in our events calendar. The role is well suited to a graduate from an Event Management or similar course, or to a candidate with a strong administrative background.

Key areas of responsibility:


 To be the main point of contact for all North American events and respond to enquiries in a timely manner

 Manage the registration process for all attendees as they come in (paid and unpaid) including cancellations and attendee substitutions

 Maintain up-to-date booking sheets and attendee lists for each event complete with their contact details, dietary requirements and attendee classification. Ensuring that the attendee lists are kept up to date and all cancellations and substitutions are reflected

 Creating registration forms via online software and adding to event websites ensuring a smooth booking process for attendees

 Setting up new event microsites and making updates to multiple existing websites

 Creating and setting up booking confirmation emails, along with sending out correspondence to attendees both pre and post event

 Managing attendee profiles on the dedicated event app for each event

 Creating invoices on the CRM, processing credit card payments and sending out payment receipts once processed

 Assist the logistics team by preparing and printing badges and manage the registration desk at the event

 Assist the logistics manager in tracking awards nominations by keeping an accurate database of entries and collating entries into packs for judges

 Work closely with the sponsorship manager and logistics manager to create table seating plans for our awards event

 Creating and sending out evaluation surveys post event to all attendees


 Liaise with sponsors once the contract is signed to ensure all items on their contract are fulfilled and be the point of contact for enquiries

 Create and maintain sponsor requirements spreadsheet with all sponsor benefits for use by the event manager

 Update event websites with sponsor logos and biographies

 Send out tailored information and marketing packs to sponsors, ensuring all information and deadlines are communicated clearly


 Great interpersonal skills and telephone manner

 Exceptional attention to detail

 Flexible and willing to support the events team with any tasks that needs doing

 Excellent time management skills

 Demonstration of strong organisation skills

 Ability to work collaboratively with a team and autonomously

 A high-level understanding of word, excel, PowerPoint and CRM systems

 Previous experience in the events industry is not required, although the candidate should have a keen interest in events and experience in undertaking administrational tasks
