The role is responsible for overseeing and delivering the corporate support functions for Merton and Wandsworth Boroughs. Working closely with the Boroughs Managing Director, Chair and senior management team, you will lead a small team in the delivery of all of the necessary support functions. This ranges from support to the Managing Director and Chair; overseeing the smooth running of the Boroughs corporate meetings; and in conjunction with the central team providing support and advice on governance issues.
This is a visible role across the Borough and you will act as key first point of contact, not only for the senior management team but also the wider borough teams. The role will oversee a small team and be responsible for setting a clear delivery path and objectives for its members. You will also be responsible for supporting and developing the team in the fulfilment of their roles.
As well as, overseeing the provision of an effective and comprehensive range of managerial and support functions, you will take personal responsibility for a range of delegated projects and business to ensure the smooth running of the leadership teams responsibilities and functions. You will be expected to exercise your judgment in making decisions and to be able to operate and deliver independently as well as being part of a team.
The post holder will be expected, within the course of their duties, to deal with a complex range of duties and responsibilities and be able to exercise discretion, confidentiality and initiative to ensure the smooth running of a busy corporate administration team.
The nature of the post means that the post holder will frequently be required to communicate and receive confidential information which may be of a controversial or sensitive nature. This will require the individual to exercise a high degree of personal responsibility in the appropriate distribution of information.
You will develop and maintain an expert knowledge of key issues in order to manage and prioritise the team workload effectively and make appropriate decisions in the absence of the Managing Director, Elected GP Borough Chair and wider local management team.
You will also have responsibility for ensuring that there is office cover (physically or otherwise) between the hours of 8am and 6pm, Monday to Friday, and any evening CCG meetings, on a rota system.
Duties and Responsibilities
The post holder will:
Be responsible for overseeing and delivering the corporate support functions for Merton and Wandsworth Boroughs.
Providing Line Management, support and leadership to their team.
Acting as a first Point of Contact for both the Boroughs Senior Management Team and the wider organisation to resolve any issues and queries they may have.
Build a detailed knowledge of the work of the organisation and its constituent parts. You will be able provide advice and support in the delivery of the Borough's and CCG's objectives.
Oversee and co-ordinate meetings of the Merton and Wandsworth Committees and Sub-committees. For example, you will be responsible for planning meetings, drafting agendas and ensuring a high level of quality assurance with regard to Committee minutes, briefing papers and reports.
Ensure the team maintains a forward plan of prospective meetings and the related annual business cycle for all local Committees as well as liaising with central Governance Team colleagues to ensure appropriate flow of relevant information.
Ensure that all work and meetings are organised in accordance with governance best practice, accountability, openness and probity.
Ensuring that membership elections are organised efficiently and effectively.
Support the Chief of Staff and Deputy Director of Governance in maintaining compliance with all relevant standards of corporate governance across the SWL CCG.
Maintain a strategic overview of the CCG and Borough's business, in order to manage a timely flow of all information (including briefing to the Managing Director and senior team), prioritising papers as necessary, identifying key actions in relation to the local Committees.
Along with the wider team providing rota support to the SWL switchboards and corporate in-boxes.
Work with the wider team to ensure office cover from 8am - 6pm, Monday to Friday and evening meetings
Ensure cover within the team of EAs and the Governance and Corporate Services Team members, such as the Corporate Officers, as requested, to ensure full administrative support to the SWL CCG, CCG Chair, Accountable Officer and Executive Directors over periods of sickness, absence and other leave.
