We are currently recruiting on behalf of the Development and Communications department of a World Famous Museum based in South Kensington.
1.Experience in an administrative support role (experience within a fundraising department would be beneficial, but not essential).
2.Good interpersonal, verbal and written communication skills, and excellent command of English.
3.Attention to detail and proven ability to undertake tasks required to a high level of accuracy.
4.Experience and understanding of diary and inbox management for senior staff.
5.Extremely organised with the ability to use initiative and manage multiple and conflicting priorities.
6.Experience of accurately maintaining records, databases and filing systems.
7.Experience working with basic financial information.
8.Ability to work independently and as part of a team.
9.Proven analytical skills with a systematic approach to problem solving.
10.Proficiency in full suite of Microsoft Office Programmes (strong level in MS Outlook) and the ability to learn new software packages quickly.
11.Ability to handle sensitive and confidential information with tact and discretion and within the confines of relevant legislative and Museum procedural requirements.
12.Knowledge of using a CRM database, ideally Raiser's Edge would be beneficial, but not essential.
13.Flexible and adaptable working methods, including the ability to adopt new skills and processes in a fast-paced environment.
4. Main tasks and responsibilities (job description)
*Conduct research on potential and existing supporters, using online and other resource materials, to produce information in advance of meetings, events and other fundraising activities; ad hoc profile updates on request; produce event biographies.
*Maintain accurate and appropriate paper and electronic record keeping systems for the team; following records management best practice, including use of the fundraising database to update supporter and prospect information.
*Undertake administrative tasks on behalf of the Advancement Operations team; ad hoc project support for the Head of Advancement Operations, including research for conference presentations, sector benchmarking, attending meetings as required.
*Support the Head of Advancement Operations' diary and email administration, including managing time, prioritising enquiries, drafting emails and scheduling meetings as required.
*Raise purchase orders and update the Advancement Operations team's expenditure records; liaise with suppliers, and Procurement and Finance departments; reconcile the Head of Advancement Operations' Credit Card on a monthly basis; financial tracking; support with regulatory compliance.
*Assist the Stewardship Manager with occasional administrative activities relating to communications with supporters and key contacts, including collating and sending reports, updating contact details and other information, circulating relevant information internally and support on larger cross-Museum stewardship projects.
*Create formal reports and presentations for senior meetings; organising and supporting team meetings; minute meetings as required.
*Assist the Database Officer with related administrative activities to ensure accurate gift and constituent data by undertaking regular housekeeping exercises and entering gifts onto the database.
