Department Head / Office Manager

A very successful and growing company with an office in Central Cardiff is looking for a Head of Department/ Office Manager to cover maternity leave of a minimum of 6 months to possibly 9.

The role itself will consist of mainly managing a large department of 35 people, the department is divided into multiples teams doing various tasks including data research, sales and customer service.

Duties include:

  • Scheduling meetings and appointments
  • Maintain the office condition and arrange necessary repairs
  • Partner with HR to update and maintain office policies as necessary, deal with basic HR issues
  • Monitor lateness/ sickness
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Ensure that all items are invoiced, invoices are signed off correctly and paid on time
  • Ensure accurate and timely reporting
  • Provide general support to staff including 121's, coaching and performance management
  • Assist in the onboarding process for new hires
  • Address employee queries regarding office management issues
  • Liaise with facility management vendors, including cleaning, facilities issues
Essential Skills and experience:
  • Proven experience as an Office manager/ Head of department
  • Management experience of 10 people at one time minimum
  • Able to deal with performance issues and basic HR issues including lateness and sickness
  • Daily, weekly and monthly reporting
  • Motivating team and coaching/ training
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
