Database Coordinator Facilities Management

Database Coordinator (FM) required to work within the Estates department of a large Hampshire University

As the Facilities Management Database Coordinator you will be providing the Estates and Facilities department with regular reports and statistics and ensuring documentation is stored correctly.

Duties will include implementing changes to the PlanOn CAFM system, ensuring PPMs are programmed in line with the Maintenance team and assist in maintaining the accommodation database for campus services. Key Duties include:

  • Logging, updating and closing jobs on PlanOn for contract
  • Setting up and updating Compliance spreadsheet with relevant Certificates
  • Answering Reception telephone, also from Outlets & Subcontractors
  • Logging Breakdowns, Installs and Upgrades on PlanOn
  • Uploading New Buildings from Excel to PlanOn using Vlookups
  • Inputting asset sheets onto an Excel Spreadsheet
  • In charge of the Contract Inbox
  • Request updates from sub-contractors & Engineers and assigning jobs
  • Raising PO's for Sub-contractors using Oracle (or similar package)
  • Speaking to outlets regarding issues

What you'll need to succeed

  • Excellent IT proficiency
  • Knowledge of database reporting tools
