Sales Support Representative

Our client a manufacturing company based in Rochester, are looking for a Sales Support Representative to join their team. Hours of work will be Monday to Friday: 8.30 am to 17.00 pm.

The Sales Support Representative is a critical role that will assist salespeople by processing sales orders and interacting with existing and new customers. The Sales Support Representative is considered an integral part of the sales department and is expected to support salespeople in managing opportunities through the sales process.

The successful person in this role is expected to have a high level of attention to detail whilst working quickly. They will follow a process and interact with other functions within the company including Sales, Customer Services, Despatch and Purchasing to manage orders to the point at which they can be loaded. The ideal candidate will be a motivated team player who possesses a positive can-do attitude and can adapt to change in a fast-moving environment.

Responsible For:

Order Processing
o Receive purchase orders and check against terms agreed
o Update customer records and confirm that details are correct
o Confirm that the customer quotation is current and matches the PO
o Create new customer records as required
o Load details of order to ERP system with correct delivery dates
o Raise internal work tickets to create new item codes
o Liaise with the customer and manage any amendments to the PO
o Liaise with the sales rep and help to update system records and quotations
o Obtain freight charges for international and domestic deliveries
o Request stock counts from the warehouse
o Load requests for expedited deliveries
o Process all internet orders

Internet Sample Requests
o Create new customer records as required
o Contact private individuals to qualify the request
o Produce sample letters and check stock
o Follow up to encourage sales

Administration & Other Duties
o Help manage the work benches / diaries of the Sales Reps
o Produce customer price lists and support the Sales Reps in the creation of quotations
o Photocopying, scanning, filing, shredding
o Order headers and instructions for other departments
o Phone cover for the main sales telephone number
o Cover for the Customer Services Team when needed

• Confirm, load and acknowledge all orders promptly
• Contribute to the improvement of internal processes and procedures
• Be flexible as duties adjust for the evolving needs of the business

• Full UK driving license
• Educated to A-Level standard or equivalent
• 2 year's relevant experience
• Previous experience using Oracle (preference but not essential)
• Mathematical Skills, good awareness of the basic principles of percentages/multiplication
