Conveyancing Assistant


The Conveyancing Assistant provides crucial administrative and legal support to the Conveyancing team, primarily to a Conveyancer or Solicitor, throughout the property transaction process. This role is essential for maintaining efficient workflows, excellent client communication, and accurate file management from instruction to completion. The successful candidate will be detail-oriented, proactive, and possess strong organisational skills.


Key Responsibilities


File Management and Administration


  • Open and close client files accurately, ensuring all initial documentation and necessary searches are processed promptly.
  • Maintain digital and physical client files in an organised and up-to-date manner, adhering to strict data protection and compliance guidelines.
  • Draft and prepare standard legal documentation including contracts, transfer deeds, forms, and completion statements under the supervision of a Conveyancer.
  • Manage the post-completion process, including the submission of Stamp Duty Land Tax (SDLT) forms and Land Registry applications.
  • Handle routine administrative tasks such as typing, photocopying, filing, and managing diaries and appointments.


Requirements

  • Previous experience (minimum 1-2 years) working in a legal or property-related administrative role, ideally within a conveyancing department.
  • Excellent IT proficiency, particularly with Microsoft Office Suite (Word, Excel, Outlook) and conveyancing case management software.
  • Outstanding organisational and time management skills, with the ability to manage a high-volume workload and meet tight deadlines.
  • High level of attention to detail and accuracy in all tasks.
  • Strong verbal and written communication skills for effective client and third-party interaction.
  • Professional and discreet when handling confidential client and firm information.
  • Proactive and able to work independently as well as part of a team.
  • Client-focused with a commitment to providing a high standard of service.
  • Resilient and calm under pressure.
