Commercial Property Assistant - Client Side

My client, a privately owned property investment/development company are seeking a full time assistant to join their team based in Fulham. The current commercial portfolio comprises of over 100 offices within 7 sites plus several smaller units, shops, restaurants/pubs, nurseries and a hotel with a combined total annual rental income of around £2m.

Main Role - The main role is to:

  • Assist with all day to day tasks involved with the management of the Marston Properties Commercial Portfolio - 3 days a week
  • Assist with the day to day tasks involved with acquisition and project management for the development team - 2 days a week.

Please note that the role will involve visits to sites and day to day contact with Tenants, Suppliers, consultants and other External Parties

Commercial Prop Dept: Main Tasks

  • To assist with the day to day management of the Portfolio
  • Carrying out regular property inspections and regular visits to tenants
  • To assist with the issuing of licence renewals
  • To assist with the letting of any vacant units
  • To assist with the keeping of proper records in accordance with company policies including the Tenant base, plans, plant testing etc as well as archiving in accordance with Company policy
  • Assist with organising and monitoring maintenance contracts
  • To assist with the management and implementation of environmental compliance issues across the whole portfolio including fire safety & compliance, staff and contractor health and safety, buildings regulations/local authority requirements (relating to occupier) and all landlords obligations

Development Dept - Main tasks

  • Keeping mailing lists up to date
  • Assist in maintaining ongoing professional fee schedules
  • Assist with obtaining competitive quotes for suppliers, surveys and professional appointments
  • Assist in organising access to potential purchases and newly acquired sites for surveys and professionals
  • Assist in liaising with other MPL depts. re intrusive work, tenancies/ temporary occupation and general arrangements/compliance testing
  • Arrange and assist in development dept. events including neighbour liaison and consultation, mail shots and PR events etc

Commercial and Development Depts: Main Joint Responsibilities

  • Records - Keeping records/ electronic filing up to date
  • Assist with invoice processing approval /payments
  • Contractors - Liaise with Contractors, Process New Suppliers
  • Utilities - Checking utility meter readings, liaising with utility companies re account changes. Update invoices to actual not estimate readings
  • Rating Authorities - Liaise with Rating Authority re changing account name, obtaining empty rates/ changes to rating list
  • Assist in updating the departmental web site pages.

Job holder requirements

  • Previous experience of working in property is desirable but not essential
  • Strong administrative skills and attention to detail
  • Strong customer communication skills
  • Self-motivated
  • Strong command of the English Language
  • Driving licence
  • Proficient in the use of MS Office, Excel, Word and Outlook
