Client Services Team Administrator

Where will I be working?

What will I be doing?

Working as part of a small but vital team in support of the business operations you will ensure that the office functions run smoothly and aid colleagues in providing an outstanding customer experience to all customers/clients through a variety of media. Assist in resolving issues and enquiries quickly and efficiently. Enhance the brand’s reputation and thereby contribute to the profitable growth of the business:

Duties will include:

  • Accurate filing and scanning;
  • Answering telephone calls and providing excellent customer service;
  • Data input; completing legal forms and applications using information provided;
  • Drafting letters;
  • Provide summary and progress reports on cases;
  • Ensure document and process templates are up to date;
  • Regularly update contact lists;
  • Send out newsletters and invitations;
  • Update information systems accurately and within mandatory time-scales;
  • Order stationary
  • Draft, update and chase invoices;
  • Assist at seminars and meetings;
  • Manage petty cash

What skills and qualification are required?

  • Fast accurate data input;

  • Good planning, organisation skills and excellent workload management;

  • The ability to multi-task and ensure accuracy and attention to detail

  • Ability to listen and follow instruction;

  • Can use initiative when carrying out tasks and not afraid to ask questions;

  • Calm under pressure;

  • Willingness to learn about immigration;

  • Good at building relationships and making things happen collaboratively;

  • A team player who can also work effectively on their own;

  • A flexible outlook and 'can do’ attitude

  • Proven ability to effectively plan and manage a varied, challenging workload;

  • Good level of education;

  • At least 1+ years’ experience in a busy administrative environment;

  • Good Microsoft Office skills;

  • Web skills;

  • Knowledge of online accounting software advantageous

    What else do I need to know?

This role is based on Milton Park in modern offices with parking facilities, and will initially be placed as a temp with the expectation of the role becoming permanent after a short period of time. This is a part-time opportunity with hours expected to be around 20 hrs per week, completed over 4 days, there may be some flexibility about how this covered.
