Buying Assistant/Assistant to Contracts Manager

My client based in the City are looking for a buying assistant/assistant to the Electrical Contract Managers to join their small team. They are a high end Electrical Specialist and Shop Fitting Electrical Contractor. They create bespoke solutions for their clients, working on both retail and residential projects. Their experience includes work at the very top levels of the industrial, residential and retail sectors particularly in Central and West London.

The candidate will be supporting the Contract Managers by sourcing and ordering electrical material for projects from approved wholesalers with other related general office duties.

Monday-Friday, 8am-5pm with 1 hour for lunch

A little about the role:

-Liaise with wholesalers to check stock availability and place orders for materials
-Liaising with specialists electrical and lighting suppliers to source item availability and lead times for nonstandard items
-Ensuring deliveries are on site when required
-Chasing items that are long lead time
-Maintaining in house records using excel; weekly procurement schedule and discount structure
-Obtaining and chasing up quotes
-Checking supplier invoices ad obtaining credits where necessary
-Updating the discount schedule to ensure best discounts from wholesalers
-Assisting the Contract Managers in the office, i.e. quotations, drawing take offs, tendering etc.
-Assisting the Director with tender enquiries
-Processing distribution board charts and electrical certification (purely data entry)
-Organising and invoicing maintenance works
-Assisting with ad hoc admin duties in the office, answering phones, taking & forwarding messages, arranging couriers, booking vehicles
-Technical or electrical knowledge or experience would be useful

Essential skills needed:

-Interpersonal and telephone skills are essential as progressing orders and discussing sales with suppliers will be a day to day part of the role

-Attention to detail
-You will have excellent communication and organisational skills
-Be able to prioritise workloads and tasks sot ensure deadlines are met successfully
-Good working knowledge of Excel and MS Office
