Business Support Officers Required ASAP! - LOCAL AUTHORITY
Croydon, Surrey
Monday - Friday 9am - 5pm
£10.86 per hour
3month Temporary Assignment

To provide comprehensive, effective and efficient administrative support to the social care teams working within the Integrated Adult Mental Health Service, the Business and Finance Manager and the organisation's Funding Panels

Main duties shall include but are not limited to:
*Updating client databases
*Monitoring the Safeguarding Mailbox, passing on referrals as appropriate, highlighting urgency when necessary
*Archiving and retrieving paper files as required
*Maintaining a supply of stationery and equipment for the team
*Preparing management and performance information
*Processing payments using the organisation's system
*Liaison with suppliers
*Ordering stationery/equipment via the organisation's system
*Dealing with emails, phone calls and personal callers in a professional and courteous manner
*Respond to complex enquiries, assessing customer needs and referring on to teams as appropriate
*Assessing the urgency and importance of information provided, taking appropriate action in response to this, with particular regard to issues concerning mental health crises and the safeguarding of children and vulnerable adults
*First point of contact for Safeguarding Adults and Approved Mental Health Professionals services, ensuring referrals are taking accurately and passed on quickly
*Taking accurate messages and passing these on in a timely manner
*Fostering good working relationships within the team and colleagues across the Integrated Service.
*Preparing agendas for a variety of meetings including funding panels and professional forums
*Sending meeting invitations
*Preparing and sending relevant meeting documents
*Taking complex minutes

Essential Requirements:
*Proficient in the use of major software packages such as Outlook, Word and Excel.
*Awareness of the needs of mental health service users
*Ability to communicate clearly and accurately, both verbally and in writing, including the production of reports and correspondence
*Ability to deal tactfully, courteously and responsively with a range of people both in person and on the telephone
*Ability to work as part of a team and to build effective working relationships with co-workers, service users, carers, colleagues and staff from other organisations
*Ability to organise and priortise own workload
*Ability to use initiative to set deadlines and manage conflicting priorities
*Ability to maintain confidentiality and to use discretion when dealing with sensitive information
*Ability to organise, attend and administer meetings and to produce accurate minutes
*Ability to work in an anti-discriminatory, anti-racist and socially inclusive way
*Ability to maintain and comply with health and safety regulations
*Ability to work flexibly to meet the needs of the service
*Experience of working in a busy and demanding office environment
*Experience of using information technology
*Experience of taking complex minutes
*Experience of maintaining financial records
