KEY RESPONSIBILITIES

  • To take responsibility for personal development and performance management with support from line manager
  • To ensure that the mandatory training for yourself in relation to the role is completed as required
  • To own tasks in executing a business support function
  • Working as a key member of the HR Solutions team to ensure a timely service is delivered and that quality and consistency is maintained in accordance with service level requirements
  • To promote and maintain positive relationships within the team, client and external agencies
  • To ensure compliance with SLA processes
  • To ensure continuous improvement and update of process documents

SPECIFIC RESPONSIBILITIES

  • Undertake and support Business Assurance team functions. Including, but not limited to:

BACS

  • Verifying payroll output for BACS credits and debits
  • Submission of BACS credit and debits across HRS sites
  • Collecting and allocating BACS Payment Services reports and ensuring resulting actions are completed in accordance with BACS regulations
  • BACS monitoring timetabling

Payments

  • Raising third payment payments (statutory and voluntary)
  • Raising emergency payments
  • Payment file requests from HRS sites
  • Schedule payments timetable

Reconciliation

  • Reconciliation of client accounts, ensuring queries are raised and dealt with in a timely fashion
  • Reconciliation of fees and charges accounts
  • Reconcile suspense accounts

Administration

  • Third party reporting
  • HMRC queries
  • Pension queries (predominantly Local Government and Teachers' Pensions)
  • Daily CashFac (client accounting system) downloads and monitoring of potential negative balances
  • Assist with Invoicing process to charge clients for services
  • Assist with yearend processes
  • Ensure processes are executed in accordance with the payroll and third party timetable
  • Own query resolution including response to internal/external clients
  • Ensure that task activity complies to Control Framework
  • Work with BA Manager identifying areas for improvement in service delivery and approach to the customer service provision
  • Assist Business Assurance Manager in providing management information when required
  • Assist Business Manager in providing information for business planning, budget setting and pricing of payroll services as necessary
  • Contribute to ensuring that objectives specified in Service Level Agreements (SLA) are met, providing each customer with a consistently high level of service
    • Promote and demonstrate excellent customer service
    • Comply with Capita values and policies

SKILLS / EXPERIENCE

IT skills to include competency in Word, Excel and Microsoft Outlook

  • Accounts background
  • Experience or skill relating to payroll and their stakeholders, reporting and accounting systems
  • Excellent attention to detail and strong execution skills
  • Time management
  • Analytical skills
  • Educated to GCSE (or equivalent) standard
  • Ability to prioritise, meet tight deadlines and work under pressure
  • Experience of working to achieve service level agreements and key performance indicators
  • Excellent communication skills
