Bid Administrator

An excellent opportunity has arisen for a Bid Administrator to join Kingdom Services Group.

Job Purpose / Primary Objective:

Administer and coordinate the bid process working closely with the Bid Writer and other colleagues.

Key Responsibilities and duties: (list not exhaustive):

  • Administer and support the general bid process, extensive use of word, excel
  • Reviewing tender notices and tender collection software to assist with the bid no bid process
  • Completing qualifying questionnaires and registrations
  • Liaising with our quality, health and safety advisors
  • Work closely with our bid writer
  • Creation, entry and maintenance of Kingdoms in-house systems for all opportunities, for example the 'Bid Sheet’
  • Creation, entry, maintenance and management of Kingdoms BID management process and software (Kahootz) for all opportunities (including but not limited to) General sales team administrative support as required and directed by the sales team manager
  • Operate our Customer Relationship Management (CRM) software Sugar (training provided)
  • Meetings
  • Attend any relevant meetings
  • Any other reasonable tasks

Skills & Experience:

  • Comfortable and competent using online tendering software, websites and search engines
  • Knowledge of and experience in using of MS Office especially Excel and Word
  • Can handle deadline and work under pressure
  • A professional and enthusiastic approach and excellent organisation
  • A good team player
  • A proven track record of delivering on time
  • A determined operator when seeking information from colleagues
  • GCSE Maths and English at C grade or above


  • Previous experience of working within a bid management function
  • Experience of working within a business administrative function
  • Problem solving and decision-making abilities, analyses information appropriately to find best solutions
  • Committed to obtaining results through taking responsibility, demonstrating a positive attitude and ensuring quality is built into work
  • Understands and responds to customer needs (internal and external) and exceeds expectations where possible
  • Able to provide concise and timely communications internally and externally
  • Proof reading skills

Job Type: Permanent

Salary: £19,000.00 to £25,000.00 /year dependant on experience
