We have a great opportunity for an experienced Administrator to join a Legal 500 recognised firm and one of the largest legal practices in Warwickshire.

You will join the Children and Families Public Law Dept. based in Coventry. The successful candidate will provide a comprehensive administrative service within the department. You will work closely with the Head of Department and other team members.

Job Purpose:

  • Provide a comprehensive administrative service within the Family Care Department, meeting the standards required by the Legal Services Commission
  • Complete fee earning targets
  • Work in accordance with the Office Manual

Key Responsibilities:

  • Provide administrative and secretarial support for Head of Department
  • Provide administrative support to other Fee Earners within the Family Care Department
  • Provide case management/Tikkit training for Fee Earners within the department and support on other training/continuing competency
  • Ensure files are opened/closed appropriately and the department is compliant, with corrective action being taken on file as required
  • Assistance with line management for the paralegal team including co-ordination of work allocation
  • Organise performance reviews for all staff within department in accordance with schedules
  • Organise diaries for department as required
  • Provide secretarial support for CAB liaison
  • Ensure stationery is ordered and at the appropriate levels within the department
  • Responsible for monitoring annual leave and updating holiday chart, communicating with the Head of Department to ensure prompt sign off
  • Ensure bundles are in order and paginated and that any missing documents are provided to the Fee Earner
  • Some fee earning work to be carried out in line with agreed targets
  • Manage the claims process for disbursement claims for all Fee Earners
  • Handle and deal with clients’ calls where possible
  • Attend to clients in Reception
  • Carry out conflict checks on new clients
  • Locate files for next day’s appointments and give diary advice to Fee Earner
  • Attend marketing/business development events as required
  • Provide information for website/blogs to promote the work of the department
  • Provide reception cover as required
  • Attend department meetings as required

Knowledge and Experience:

  • Strong organisational skills
  • Fast and accurate audio typing
  • Excellent interpersonal and communication skills at all levels
  • Fluent knowledge of written and spoken English
  • Excellent knowledge of Microsoft Windows, Word and Outlook
  • Sufficient knowledge of the legal process to understand the work being undertaken is a preference
  • Knowledge of the work of Family Care Department an advantage
