Administrator, Daventry - Permanent role, Salary 18k
Our Daventry based client is looking to recruit an Administrator to provide administrative support within the Administration, Quality & Compliance Department and throughout the organisation and to ensure quality documents and service are delivered.
To be the first point of contact with telephones, taking messages and relaying them promptly. Assist Head of Administration, Quality and Compliance with Group Risk Register for all Group activities.
To be proactive in maintaining and updating SharePoint for Administration, Quality and Compliance.
Ensure all changes to compliances are properly recorded, tracked and effected efficiently within the business.
To assist in overseeing and reviewing the Quality Systems and to achieve and maintain ISO9001 & ISO14001 accreditation for the Group. To assist in arranging internal and external audits and notify key departments of their required input.
Ensure all Health & Safety, Financial, Insurance, Group Policies and HR data contained therein is reviewed and updated annually to maintain up to date internal PQQ and ITT templates.
To assist Head of Administration, Quality and Compliance and Director to organise internal audits of Health and Safety and other mandatory compliance processes to ensure safeguards are in place.
Assist with regular internal audits to ensure ISO procedures are being properly followed and adhered to.
Update and amend Group Policies as necessary to reflect new ISO operating processes and procedures.
To be responsible for logging issues around Customer Care and reporting to Head of Administration, Quality and Compliance and issues.
To assist and coordinate Approved Contractors applications, ensuring all information and documentation is collated.
To provide assistance in arranging and event manage the Group Conference, Dinner and Meetings, including room bookings, accommodation, team building activities.
Ensuring approval and spend is in line with the company SODA policy.
To log facility issues and booking meetings rooms.
To assist with Facilities updating and logging for the groups to include Fire and Security, Air Conditioning, Cleaning and Maintenance, Electrical Certification, Waste management, Water Drinkers/Coolers, Weekly Fire Alarm tests and Fire Drills.
To record all corporate hospitality and gifts.
To provide cover for general admin duties; answering phones, reception, checking e-mails, correspondence, stationary, mail - incoming and outgoing.
To organise travel and accommodation.
To format inspection letters and e-mail to contractors/clients.
To assist the Admin team in creating specifications preparation/processing/distribution.
Experience of working in an admin environment or similar
Experience of working on own initiative and as part of a team
Good PC skills including Microsoft Office applications and other relevant software. Experience of working with ISO and Health and Safety desirable.
