Eastern Concrete are looking for an experienced Administrator to join this successful and expanding business. This is a progressive and varied role which offers a very competitive salary


To ensure that all administrative matters within the general office are dealt with in a timely and efficient manner. Maintain a diary of licences and renewals which are needed for the continued running of the business and ensure that all Company correspondence is maintained or filed in an orderly fashion, both on paper and in electronic format. Ensure that all vehicles are registered on the Company’s 'O’ Licence and administer the Company’s Insurance Policies. Arrange staff training, and ensure operating licences and permits are valid at all times.



  • General Administrative duties for the Managing Director, General Manager and the Transport & Maintenance Manager
  • Responsible for carrying out all postal duties on a daily basis
  • Undertake daily banking duties when required
  • Ensuring all BSI Certificates are up to date and displayed where necessary
  • Arranging Staff training as and when required or requested
  • Chasing/supplying VAT receipts
  • Answering customers calls as and when required and taking payments or arranging alternative payment methods where necessary
  • Collating end of month stock take results from all sites in respect of consumable items
  • Collect and process meter readings for gas and electricity supplies from all sites
  • Arrange Air conditioning and carpet cleaning every 6 months at the Head Office
  • General housekeeping duties


  • Ensure all vehicles are registered on the 'O’ Licence
  • Responsible for adding new driver’s to the Licence Check Database and for carrying out updates as and when required
  • Issuing of fuel numbers and keys to new drivers
  • Adding new drivers and vehicles to the Merridale system
  • Sending V5 information to the DVLA
  • Ensuring all vehicles are covered by the relevant Road Tax
  • Ensuring all vehicle have the appropriate Traffic Accident Kits on board
  • Book MOTs for all commercial vehicles
  • Print off MOT and Service Schedule weekly for the Transport & Maintenance Manager
  • File Tachograph infringements and tyre information internally
  • Arrange any relevant training for drivers
  • Action and file the Daily Defect Sheets
  • Update internal systems in respect of the Calibration information for all trucks
  • Produce the Fuel Stock Report for action within the Distribution Department
  • Provide a weekly Merridale MPG Analysis Report for the Operations Manager to review
  • Update the MID with any new vehicles
  • Add fuel usage to the Merridale system
  • Provide a monthly fuel report for the Accounts Department


  • Update all insurance policies and display where necessary
  • Inform insurance company of any accidents and liaise with them in respect of closing the claim

Health & Safety

  • Responsible for completing the PPE stock take on a quarterly basis for all sites and order stock when required
  • Ensure that all COSHH data sheets and Certificates are up to date and displayed where necessary
  • Arrange for PAT testing to be carried out as and when required
  • Ensure all Fire Extinguishers are tested on a regular basis
  • Ensure all First Aid Kits are complete and products in date
  • Ensure all workshop equipment is tested as required

You will have experience in handling a wide range of administrative and support related tasks and will be able to work independently with little or no supervision. You will have proven office management, administrative or assistant experience. Knowledge of office management systems and procedures, excellent time management skills and the ability to multi-task and prioritise work. Attention to detail and problem solving skills.

Should the Company introduce new methods of working and/or new technology you will be required to co-operate with these changes adapting to new methods of working and/or technology and undergo training as the Company directs. For health and safety purposes, it is a requirement that you be trained in first aid and fire marshal duties.
