Job Specification – Office Administrator

My client, an established boutique investment bank based near Liverpool Street Station, is currently looking for an experienced Office Administrator. This position will play an integral role in the customer service and organizational strength of our company. 

The Office Administrator will provide administrative support whilst greeting or directing clients, answering calls and responding to emails. 

Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanour.

Primary Tasks and Responsibilities

-          Welcome clients visiting our offices, direct to meeting venues and provide reasonable administrative support where requested

-          Conduct clerical duties including filing, answering phone calls and responding to emails

-          Manage internal/external information requests within our policies and procedures

-          Coordinate diaries of senior management and meeting venues

-          Manage schedules and travel arrangements for all staff including international travel

-          Prepare and modify documents including company presentations, client presentations, memos and emails

-          Maintain client communications store including contact details and client categorisations

-          Maintenance of Office supplies including purchasing and budget management

-          Maintain access control software profiles for staff and visitors

-          Update company website with new information as required

-          Coordinate delivery of internal project deliverables

Education and Experience

-          Experience  and knowledge using Microsoft Office

-          Desirable attributes

o   Qualification in administration, and/or;

o   Experience using Microsoft Access

o   Basic knowledge of book keeping

Key Competencies

-          3+ Years experience as receptionist

-          Exemplary customer service skills

-          Excellent written and verbal communication skills

-          Ability to manage many deliverables, with varying degrees of urgency,  with minimal supervision

-          Experience working with client data including awareness of data protection requirements

-          Proven problem solver with attention to detail
