Administrator/ PA

My client is a rapidly expanding property company who are currently looking for a strong administrator to support the business support team and company's director.

Purpose of role:

To be responsible for providing administrative support to MD and business support to various endeavours to ensure the smooth running of each business and the projects.

Key Responsibilities:

Administration and Organisation

  • Organising and filing (on and off-line) documentation for various businesses - ranging from property compliance documentation to minutes/notes from internal and external meetings
  • Review and editing documentation on behalf of MD/Head of BD
  • Review and complete compliance paperwork required for properties (residential and commercial)
  • Organising travel, transport and accommodation
  • Organising monthly boarding meetings and adhoc executive meetings
  • Office management
  • Answering calls on behalf of Team
  • Email management
  • Reviewing status of Housing Benefit/Universal claims - actioning necessary follow-ups/chase-ups
  • Organising and coordinating maintenance at properties (commercial and residential)

Financials

  • Monthly submission of bank statements (business and personal) to accountant
  • Managing (with support from accountant) Xero accounting system - raising sales invoices and supplier invoices
  • Weekly payment runs from bank account to suppliers - once approved by MD/ Head of BD
  • Printing out monthly bank statement for review of MD/Head of BD
  • Monthly reconciliation - expenses (properties, business and personal)

Property transactions

  • Supporting to source properties (for leasing and purchase) and developments
  • Supporting team with market appraisals
  • Coordinating process flow to completion - including liaising with solicitors, estate agents and vendors

The focus of activity on each of these activities varies week by week. Therefore, this role will be flexible across the following activities:

Experience required:

  • Two years admin experience in an office environment
  • Fluent spoken and written English
  • Competent in Excel and Word
  • Very Organised

Salary: £20,000 to £23,000

Full time permanent

Location: Croydon
