4. MAIN PURPOSE OF JOB
4.1 Developing and managing procedures for the effective and efficient administration
of both internal and public examinations and adhering to national regulations and
guidelines.
4.2 Co-ordinate the work of Examination Assistants in relation to examinations.
4.3 Manage the recruitment, training and deployment of Invigilators.
4.4 Contribute to the overall ethos, work and aims of the school.
5. DUTIES AND RESPONSIBILITIES of this post
5.1 To work in partnership with the Assistant Headteacher to update examination
regulations and procedures.
5.2 To develop and utilise the Examinations module of the school’s Central
Management Information System (SIMS) to administer examination entries and
amendments, candidate information and timetables, and accurate records of
results.
5.3 To liaise with examination boards as appropriate and manage JCQ inspections
and, in consultation with the Assistant Headteacher, ensure that all policies and
procedures are kept up-to-date.
5.4 To issue to all students taking exams an information pack with all JCQ regulations
and the school’s expectations of them, together with their examination timetable.

5.5 To deal with enquiries from and communications with candidates, parents and
teaching staff; e.g. timetable clashes.
5.6 To liaise with subject departments to maintain an up-to-date record of
specifications, tiers of entry and coursework requirements.
5.7 To arrange community language examinations.
5.8 To record, collect and receipt student examination fees.
5.9 To administer special considerations arrangements in consultation with the
SENCO.
5.10 To administer attendance/absence records of candidates.
5.11 To maintain accurate records of the submission of examinations scripts and dealing
with enquiries.
5.12 To administer remarks and appeals.
5.13 To maintain accurate records of examination certificates received and distributed;
communicating with candidates to ensure that certificates are collected.
5.14 To be responsible for the checking, security and confidentiality of examination
papers delivered to the School.
5.15 To ensure that the appropriate examination papers/materials are available at the
correct time/day for each exam.
5.16 To ensure examination rooms are suitably prepared with notices/relevant desk
width separation etc. to conform to Examination Board Rules.
5.17 To manage the examination halls/rooms at the start and end of examinations to
ensure compliancy with external examination board procedures.
5.18 To liaise with SEN Department to ensure the specific needs of SEN students are
met.
5.19 Oversee the download of public examinations data during the month of August and
provide reports on examination results for teaching staff as required.
5.20 Managing the checking and distribution of Examination results and certificates.
5.21 To assist the appropriate Assistant Headteacher in dealing with instances of
examination/coursework misconduct and reporting such instances to the
Examination Boards.
5.22 To ensure the Intranet Examination webpage is kept up-to-date with forthcoming
examination information.
5.23 To take for the recruitment and training of external Invigilators.
5.24 To administer internal examinations/tests for all year groups, including:
 preparing the timetable for examinations,
 ensuring that the appropriate examination papers/materials are available at
the correct time/day for each exam,

 ensuring exam rooms / halls are set up for exams, and
 co-ordinating invigilation and the collection of completed papers.
5.25 Data entry, processing and reporting.
5.26 Supervise the work of the Examination Assistants.
6. General Responsibilities common to all support staff job descriptions
6.1 To undertake general duties, administration and any reasonable task as directed by
the Line Manager or Headteacher and to carry out such other tasks as are
essential to fulfil the job’s core purpose
6.2 Participate in training and development, and attend and participate in meetings, as
required, including until 5.00 once per week at most, with time taken in lieu.
6.3 Assist with first-aid for students and staff, including looking after sick students and
liaising with parents and staff
6.4 Be aware of and comply with policies and procedures, and report all concerns to an
appropriate person, in respect of:
 child protection,
 health, safety and security,
 confidentiality, and
 data protection.
6.5 Contribute to the school’s commitment to equality of access to opportunities to
