Administrative Co-ordinator

A well known Housing Association is currently looking for an Administrative Co-ordinator on a temporary basis for circa 7 months.

Key responsibilities are as follows

Provide support to sales consultants and Sales Manager by dealing with a variety of internal and external partners, handle enquires, answering calls, meeting valuers, going on site at short notice and organising viewings and home demonstration tours

Set-up, maintain and produce reports from the CORE system for all Home Ownership new sales or resales handled by the Sales Team and liaise with the CORE agents

Ensure that all sales data is recorded correctly in the database and that all files are finished off correctly to allow for inputting onto IMS.

Co-ordinate complaints in line with our complaints procedure, and escalate appropriately to Sales Consultants and Sales Managers according to the relevant policies and procedures.

Build effective relationships with local authorities, sales agents, solicitors, suppliers and other stakeholders in order to process invoices, utility bills and council tax and deal with any related enquiries. Chase, scrutinise and clarify information from sales agents on a weekly basis

Co-ordinate and help deliver special projects. Undertake project work as required - researching information and presenting findings

Manage the setup of new suppliers and process invoices in a timely manner ensuring that invoices are paid within agreed timeframes. You will also complete CML forms and handle utility and council tax bills, dealing with any related enquiries. Also to keep track and chase external agencies when claiming back outstanding monies owed

Set-up and maintain information on the sales database to be able to extract and provide reports/performance data to internal/external customers within given deadline

Provide assistance in preparing for launches, site visits, handovers, ensuring all information and print outs are correct and signed off. Taking any relevant marketing and sales collateral to the development when required

Set up and organising of tender documents and sales agent presentations

Update and maintain the allocation spreadsheet and pull relevant data against the preference sheets in order to progress the allocation of a property

Maintain the sales marketing list by processing applications, assessing eligibility based on prescribed criteria, managing updates, and handling enquiries. Also to ensure that selections and allocations are carried out within timeframes outlined in our policy.

Attend meetings as required, taking minutes, initiating actions arising from meetings as appropriate

Act as ICT administrator/ super user and be responsible for ICT and other projects as required

Sort/ distribute incoming departmental post/ faxes, arranging for the dispatch of items by courier when required

Undertake administrative duties, including data input, e.g. on the Sales database, IMS and CORE systems

To co-ordinate the application process and ensure the smooth running of our waiting list so that any updated information is recorded correctly and we have a good supply of potential purchasers, effectively using this list to market our homes.

Must have a consistent work history in administration

Excellent on Word & Excel

Must be immediately available or on short notice
