Administrative Assistant

Castlefield Recruitment are currently looking to recruit an Administrative Assistant on a temporary basis. This is an excellent opportunity to join a business within the public sector.

The Role:

  • Provide an efficient administrative service to support the corporate administration service
  • Maintain realistic and manageable diaries
  • Manage senior manager’s diaries in a pro-active and efficient manner, based on all information from emails, meeting requests and travel itineraries
  • Arrange meetings and set up any rooms/equipment required
  • Manage incoming communications (email, post, telephone) and highlight / prioritise key points for follow-up / action and diary management
  • Develop and maintain office systems to ensure the efficient collation, storage and retrieval of information
  • Order supplies using an electronic ordering system maintaining accurate records
  • Assist in the production of reports, presentations, spreadsheets using MS Packages
  • Provide a high-quality typing and word-processing service, producing correspondence, reports and other documents as required, including work of a confidential nature
  • To arrange and attend meetings/events to accurately record and minute proceedings/decisions
  • Produce information packs/collation of papers for meetings/events, ensuring timely distribution and any follow-up of actions
  • Ensure resource areas have adequate stock
  • Provide reception cover for lunch times, sickness and any other leave
  • Deputise for Personal Assistants/Committee Administrator when required
  • Work flexibly across teams and potentially in other bases
  • Carry out any duties as agreed with the Corporate Administration Manager (in conjunction with Personal Assistants), commensurate with the grade of the post
  • Ability to travel independently across different sites
  • Maintain the strictest level of confidentiality
  • Be conversant and comply with the organisations policies and procedures
  • The ability to concentrate within a busy office environment where work patterns are often unpredictable with frequent distractions
  • Have the ability to receive process and or provide sensitive / confidential information which requires a high level of tact

The Person:

  • High level of written and verbal communication for a professional audience
  • The person must be able to travel via car to three different sites - Durham, Newcastle and Middlesbrough
  • Excellent organisation skills and attention to detail
  • Ability to become proficient in various software applications
  • Sense of urgency and commitment to meet deadlines
