Greets and welcomes all visitors and callers to the service.
Ensures that everyone visiting / telephoning The Carers’ Resource is given a positive response and referred to appropriate personnel.
Deals with the enquiries sensitively and acts accordingly.
Inputs information onto the database and ensures all enquiries recorded on the database.
Manages petty cash and assists with budgetary monitoring for the local projects.
Assists with project work undertaken by the administration function e.g. emergency plans, bookings for breaks at Tudor House, sale and distribution of Christmas cards, Easter chicks.
Assists with the production of publicity/marketing materials and the administration of appropriate systems to manage this activity.
Provides a high standard of administration and data input support (carers assessments, letters etc).
Support the management of IT systems.
Assists with the upkeep and smooth running of the office, ensuring neatness and orderliness throughout and particularly in meeting rooms.
Uses office systems (e.g.: photocopier, telephones, fax, computers).
Assists with internal communications (e.g. circulating documents, ensuring messages are conveyed and dealt with).
Monitors supplies (e.g. stamps, stationery).
Assists with organising meetings, events and activities at the office as appropriate including making refreshments.
In conjunction with Office Manager/Office Administrator take responsibility for Health and Safety matters, advising colleagues on updates, policies, procedures.
Support volunteers within the administration function.
Supports the Office Manager/Office Administrator and Administrator.
Undertakes such other duties as may be determined from time to time commensurate with the range of activities described above and in line with any developments or changes
