Administrative Assistant (Education)

MAIN RESPONSIBILITIES

Secretary to the EMS Coordinators Liaison Group

a) Prepare & distribute agendas, papers and minutes, in accordance with agreed house style, procedures and timetables, produce papers and reports for own area of work, and ensure that papers produced by others are included on the agenda & intranet according to agreed deadlines.

Supporting the Education Team in the implementation of administrative systems

  • Register new and overseas graduates for the Professional Development Phase
  • Print and distribute certificates of completion for the Professional Development Phase
  • Send out information to PDP participants and their mentors
  • Produce and send CPD audit reminders and undertake other follow up actions as requested
  • Assist with processing annual fees, producing appropriate chase-up letters
  • Manage the Education enquiry email box and send out careers information in response to requests.
  • Organise and produce agendas for team meetings
  • Assist with the development and maintenance of electronic and paper-based filing and database systems for the Education Department
  • Contribute to developing and reviewing systems and procedures within the department
  • Provide information and advice to external enquirers in connection with own area ofwork, as well as other work of the Education Department
  • Keep up to date with issues affecting veterinary education & training, and policy developments in the College generally, and contribute to departmental discussions on developing procedures and day-to-day operational issues
  • Contribute to the work of the Education Department by undertaking other duties that may be required to support the team

* Ability to organise and prioritise work to meet deadlines

* Excellent written and verbal communication skills

* Ability to work accurately and pay attention to detail

* Experience of working as part of a team and willingness to provide support to colleagues

* Experience of responding to enquiries

* Ability to research information

* Competence in the use of a variety of IT systems, including databases

Desirable experience and skills:

* Experience of working with committees

* Familiarity with the veterinary sector

* Willingness to learn
